How to add Maxanet inventory items one at a time (Integrated Inventory & Photo Loader)

Overview

Maxanet's Integrated Inventory & Photo Loader lets you add auction items one at a time through the Items tab using a structured form with built-in photo upload, save-and-duplicate shortcuts, and sequential item numbering. Use this workflow when you have a handful of items or when items need individualized attention. For larger imports, use the Excel bulk upload or QR code workflows instead.

How to open the Add Item form in Maxanet

From your Maxanet Admin panel, open the Auctions page, click the title of your auction to enter the auction dashboard, click the Items tab, and click the green Add button. Maxanet opens the new-item form with the Item Number field pre-populated with the next sequential number in the auction.

How the Item Number, Item Name, and Category fields work

  • Item Number — pre-populated with the next available number in the sequence. You can change it to any value you want, including special characters like periods, dashes, or alpha characters (1A, 12-B). Maxanet rejects duplicate item numbers within the same auction.

  • Item Name — optional short title that displays at the top of the item listing as a quick description. Leave blank if you don't need a separate title.

  • Category — required. An item can have multiple categories. Add a new category on the fly by clicking the + symbol on the far right of the Category field.

  • Location (Pull Report) — optional. If filled in, displays on the post-auction Pull Report PDF. Can also be shown publicly via the Display Location toggle in Public Page Configuration.

How to add photos to an item inline

The new-item form has a Photos section at the bottom where you can drag and drop images or click to browse. Photos uploaded here are attached directly to the item on save. You can also use alternate photo workflows (Quick Photo Loader on the Images tab, Manage Images from the Items row action, QR Code Bulk Upload) — see the related articles below for those.

The four Save buttons and what each one does

  • Save — saves your work and keeps you on the same page so you can keep editing

  • Save & Close — saves your work and returns you to the Items page listing

  • Save & Duplicate — duplicates the current item into the next new item form. Any form field with a green checkbox next to it is duplicated into the new item. There is a Select All option to duplicate everything, including photos — useful when entering many similar items in a row

  • Save & New — saves your work and creates a new blank item with the next sequential number. Unlike Save & Duplicate, Save & New starts fresh

The form also has a sub-menu for navigating between items: Previous Item, Next Item, All Items, and Go To Items for jumping to a specific item number.

Common questions

Can I use decimal or letter suffixes in item numbers like 1A, 12.5, or 100-B?

Yes. Maxanet supports special characters (periods, dashes, letters) in item numbers. The only rule is uniqueness within a single auction.

What does Save & Duplicate do differently from Save & New?

Save & Duplicate copies selected fields from the current item into the next item form (use the green checkboxes to control what's copied). Save & New starts the next item fully blank.

Can an item have multiple categories?

Yes. The Category field is multi-select, so assign as many categories as are relevant to a single item.

What's the fastest way to enter 20 similar items?

Use Save & Duplicate with green checkboxes on the common fields (Category, Condition, Fees, etc.), then just change the unique values for each new item.

How do I add photos later instead of at item creation time?

Use the Images tab's Quick Photo Loader, or the Manage Images action from the 3-dot menu on the Items tab row, or the QR Code Bulk Upload for large auctions. See related articles.
