How to charge a bidder a custom registration or one-off fee

Use Maxanet's Collect Registration Fee action to charge a bidder's saved credit card any amount at any time, with an automatic email receipt that you can customize or disable.

Overview

Maxanet lets an admin charge a custom amount to a bidder's saved credit card at any time through the bidder's Payment Methods page — useful for collecting registration fees, deposits, damage charges, reorder fees, or anything else outside a normal auction invoice. Maxanet automatically emails the bidder a receipt through the Bidder: Registration Fee Received email template, which you can customize or fully disable if you want to charge silently.

How to charge a bidder a custom fee through Payment Methods

From your Maxanet Admin panel, open Users → User Profile → Payment Methods for the bidder you want to charge. On the row showing the bidder's credit card details, click the Actions menu to the right and select Collect Registration Fee. Enter the exact dollar amount you want to charge and confirm. Maxanet immediately runs the charge against the bidder's saved card through MaxanetPay.

What the automatic Registration Fee email looks like and how to customize it

When you collect a registration fee, Maxanet automatically triggers the Bidder: Registration Fee Received email template, which sends the bidder a confirmation of the charge. You can customize the subject line and body of this email template under Admin → Configurations → Email Templates — for example, to thank the bidder personally or explain what the fee is for. If you want to charge a bidder without any automatic email going out, deactivate the template under Email Templates; Maxanet will still process the charge but skip the email.

Common questions

Does the bidder need a credit card on file for me to charge them?

Yes. The Collect Registration Fee action runs against the card stored in the bidder's Payment Methods section. The bidder must have a saved card before you can use this feature.

Can I charge any amount, or is there a fixed fee?

Any amount. Enter the specific dollar figure when you run the action — there is no fixed fee.

Will the bidder see the charge on an invoice in Maxanet?

The charge appears in MaxanetPay Merchant Track and in the bidder's payment history. It is recorded as a registration fee, not as an auction invoice.

Can I disable the automatic receipt email?

Yes. Deactivate the 'Bidder: Registration Fee Received' template under Admin → Configurations → Email Templates and Maxanet will charge silently.
