What is mileage tracking?

Mileage tracking allows you to automatically capture the kilometers driven by your employees in their company cars. This data helps you manage your fleet more efficiently, stay compliant with tax regulations, and gain insights into how your vehicles are being used.

How does it work?

Once an employee registers their car in the Mbrella Platform, we can automatically retrieve mileage data from connected vehicles. This means:

  • Automatic tracking: No more manual kilometer logs

  • Real-time insights: See up-to-date mileage information

  • Business vs. private split: Understand how vehicles are being used

Which car brands are supported?

Mileage tracking is currently available for connected vehicles from the following brands:

✅ Brands with direct API connection (automatic mileage retrieval)

  • Volkswagen

  • Skoda

  • Cupra

  • Audi

  • Kia

  • Hyundai

  • Nissan

  • Tesla

⚠️ SmartCar brands (mileage available, but requires explicit user consent when connecting the car)

  • Peugeot, Renault, Citroën, Jeep, Mazda, Ford, Fiat, and others

❌ Not connected cars

  • Users will be prompted to manually input their mileage after a charging session

Important: Not all car models support automatic mileage tracking, even within supported brands. The vehicle needs to have connected car technology and an active data connection.

Employees must register their cars first

💡 Here's the key: Employees need to actively register their car in the Mbrella Platform for mileage tracking to work. Without registration, we can't access the vehicle's data.

Pro tip: Make car registration mandatory in your car policy. This ensures compliance and makes it much easier to get everyone on board. Include a clause that states employees must register their company car within [X days] of receiving it. This way, it's not optional, it's part of the process. 😉

How to enable mileage tracking

To activate mileage tracking for your fleet:

  1. Go to Settings ⚙️ > Fleet

  2. Click on Mileage tracking

  3. Toggle the feature On

  4. Save your changes

Once enabled, all registered connected vehicles will start syncing their mileage data automatically.

What happens if a car isn't registered?

If an employee doesn't register their car, you won't have access to automatic mileage data for that vehicle. You'll need to rely on manual tracking methods instead, which defeats the purpose of having this smart feature available.

That's why communication and a clear car policy are so important! 🚗
