How to Send a Text Marketing Campaign in Meadow

Marketing is back! Learn how to send a text message campaign directly from Meadow Admin

Overview

Text campaigns are one of the most powerful tools in your dispensary's marketing toolkit - but they require a few setup steps before your first send. This guide walks you through the process to send your first message.

Step 1 - Check out Meadow's Mastery Course on Text Marketing before sending your first campaign.


Step 2 - Set Your Marketing Organization Name

  • Before sending, your campaigns need a marketing organization name β€” this is the name your texts are sent under, not your dispensary name.

  • Don't want to create your own? No problem β€” the Meadow team can set you up with the default name "Our Shop" so you can start right away. Just ask in the help chat.

  • Prefer a custom name? Make sure it follows the rules below and passes the "Google Test," then message the Meadow team in the help chat with your preferred name and we'll set it up for you.

  • ⚠️ Note: For compliance reasons, only the Meadow team can set or change your marketing organization name. You can't edit it yourself β€” just send your request in the help chat.

What Is a Marketing Organization Name?

  • A marketing organization name is a separate identity used for your text campaigns. It must to pass the "Google Test": if someone searches it in an incognito window, no cannabis-related results should appear.

  • You can preview the current marketing organization name under Marketing > Settings, but any changes must be made by the Meadow team β€” send your request in the help chat. To perform the "Google Test" before requesting a name:

    1. Open an incognito or private browser window.

    2. Search for the proposed organization name on Google.

    3. Review the search results on the first page:

      • If any cannabis-related results appear, the name is non-compliant and cannot be used.

      • If no cannabis-related results appear, the name is likely compliant.

    4. Adjust the name as needed and repeat the process until no cannabis-related results appear.- Examples of prohibited terms include "weed," "w33d," "joint," or "j0int." Avoid these to ensure compliance.

Rules for Choosing Your Org Name

  • Do not include cannabis terms or obvious workarounds (e.g., "420," "herb," "green")

  • Must not be identifiable as a cannabis business via a public Google search

  • Test it in an incognito window β€” if cannabis results appear on the first few pages, revise it

  • Keep it professional and brandable- Avoid names that directly or indirectly reference cannabis products or services, ensuring they are not identifiable as a cannabis brand or retailer through a Google search.

Step 3 - Buy Credits

Campaigns are sent using credits, so you'll need a credit balance before your first send. Go to Marketing β†’ Buy Credits and choose a pack.

  • Typically 1 credit (a text under 160 characters) = 1 text = 1 customer.

  • So 500 credits reaches about 500 customers.

  • The smallest pack is 5,000 credits for $150 β€” about 3 cents per customer, so reaching 500 customers costs roughly $15.

  • Larger packs cost less per credit (for example, 100,000 credits at a 35% discount).


Step 4 - Prepare Your Message: Templates, Flyers & Content Requests

Meadow's Text Marketing tools give you a few ways to build your message.

Shared Templates

Meadow provides message templates you can use immediately - no additional review required. These are the fastest way to send a compliant campaign.

  • Find them under Marketing β†’ Templates when building your campaign.

  • Customize placeholder fields (offer %, product name, dates) but keep the core structure intact.

  • Ideal for recurring promotions like weekend sales, loyalty point bonuses, or holiday events.

Digital Flyers

A Digital Flyer is a private, PIN-protected page you share as a link in your text message. Because it's locked behind a PIN, you can include almost anything you want inside β€” images, links to your website or menu, brand names, product details, promotions, and even cannabis-specific wording. Only the customer who received the text can open it, so all those details stay private and compliant.

You can fully customize the flyer content inside Meadow:

  • Logo - display as a Bubble, Banner, or None

  • Title - short headline at the top of your promotion

  • Body - write as much as you want here; markdown, links and HTML are supported.

There are three flyer types to choose from:

  • Text - A branded page with your logo, a title, and a body section. You can write as much as you want - markdown and emojis are fully supported. Great for detailed promotions, event info, or personalized offers you wouldn't want visible in the raw text.

  • Image - The link opens an image you upload. The customer enters their PIN and sees the image directly. Ideal for visual promos like menus, sale graphics, or event flyers.

  • Link - Redirects the customer straight to a URL of your choice - your website, a menu page, a specific product, or anywhere else. The PIN still protects the entry point, but the destination is fully up to you.

Because the flyer is PIN-protected, it's a safe space to include offer details, product info, event details, or anything else you want to share - without those details appearing in the text itself. This is great for compliance and for creating a premium experience for your customers.

Requesting Custom Content

If the shared templates don't fit your campaign, you can submit a content request for a custom-written, compliance-reviewed message.

  1. In the campaign builder, select Request Content.

  2. Describe your campaign goal, offer details, and any specific messaging.

  3. Allow time for the review and approval process before your intended send date.

πŸ’‘ Tip: Plan ahead! Custom content requests take time. Submit at least 2–3 business days before your target send date.


Step 5 - Build & Send Your Campaign

Once your audience is set, org name is confirmed, and message is ready, it's time to build the campaign.

  1. Go to Marketing β†’ Campaigns β†’ Create Campaign.

  2. Select your Template from the dropdown.

  3. Choose your audience using Segments.

  4. Click Create Campaign to preview the message and confirm recipient count.

  5. Schedule or send immediately πŸš€

βœ… Best practice: Always preview your message before sending. Double-check the offer details, opt-out language, and that any links work correctly.


Common Questions

Does sending a Digital Flyer cost extra?

  • No β€” Digital Flyers don't add any extra fees. A campaign with a flyer uses the same credits as a regular text, so there's no reason not to use one. We actually recommend creating a Digital Flyer for most campaigns: you get a richer, branded experience for your customers at no additional cost.
