How do I merge or delete customer profiles?

Need to clean up a duplicate profile or remove a customer? Quickly merge/delete profiles from Admin.

WARNING: MERGING AND DELETING PROFILES CAN'T BE UNDONE!

DO NOT MERGE OR DELETE PROFILES UNLESS YOU ARE ABSOLUTELY SURE.

If you find that a customer has duplicate profiles or you want to remove them from the system, you can do so in Admin.

  • Find the profile you want to merge or delete under Customers by searching name/email/phone.

  • View the profile and click the button with the three dots in the top right corner. Select either merge or delete profile.

  • If you are merging profiles, search for the second profile by name/email/phone.

  • You will be shown any conflicts between the two profiles (such as a different phone number, ID expiration, etc.) and select which information to save to the merged profile.

Merging duplicates from API orders: "Remember this merge" 🤝

When an order arrives via API (for example from your Weedmaps menu), Meadow looks for a matching profile based on customer name and contact details. If an order arrives with an existing phone or email but a different name, Meadow creates a new profile rather than risk assigning the order to someone else's account.

Sometimes a customer's name on Weedmaps doesn't match their Meadow profile — a nickname, a middle name, a new name after marriage. Instead of merging their profiles every time they order, check the "Remember this merge" box when merging a profile created via API.

  • Matching orders in the future will automatically merge to the correct profile.

  • After remembering a merge, the duplicate's details are visible in the existing profile in Meadow Admin. Multiple duplicates can be matched to one profile (for example, if the customer changes their Weedmaps profile over time).

  • Customer matching and merging are otherwise unchanged: API orders with an exact email or phone match and the same (or closely similar) name are assigned to the existing profile automatically, and significant conflicts still create a new profile.

NOTES:

  • Customer notes, customer groups, orders, loyalty, and credits will also be combined when merging profiles.

  • If the customer has set a password for multiple profiles, only the password on the first profile selected will be valid after merging with a second profile. The customer can use a one time password to reset their password if needed.

  • Duplicate profiles are most commonly caused by customers creating multiple accounts online (using a different phone/email), or when an account is created for them via Admin or the Intake tool on the iPad app. Using ID scanning can help prevent duplicates.
