Metrc Delivery Ledgers & Reporting Requirements in California

Stay compliant with the DCC's delivery regulations by reporting all deliveries to Metrc BEFORE leaving the premises with delivery ledgers.

Never create, edit, depart or complete delivery ledgers directly within Metrc.com

Doing so will cause inventory to be inaccurate and sales not to report. All of these action must be performed entirely within Meadow only.

Starting April 1, 2023:

  • Any retailer performing delivery must report a delivery inventory ledger to Metrc before the driver can leave the licensed premises.

  • The delivery ledger must contain the following information:

    • Vehicle make, model, and license plate number.

    • Delivery employee name, employee ID, and driver's license number.

    • Every piece of inventory in the vehicle (UIDs, number of units, category) & purchase price of each unit sold.

    • Delivery vehicle departure date and time.

    • The time each delivery was completed.

    • County in which each delivery was made.

    • The ending time of the delivery trip.

To start using delivery ledgers (available 3/31):

  1. Add your Delivery Employees to Meadow.

  2. Add your Delivery Vehicles to Meadow.

  3. If you're doing dynamic delivery, set up your vehicle inventory locations under 
Inventory --> Locations on the Vehicles tab.

Now you're ready to create delivery ledgers!

For Dispatchers

  1. Click the New Delivery Ledger button to get started

  2. Add all the inventory that will be in the car: ledgers require assigning inventory from a vehicle and/or existing order to be created.
    - For hub and spoke orders, select the orders to add their inventory to the ledger.
    - For dynamic (ice cream truck) delivery select a vehicle inventory to add to the ledger.
    - If your vehicle has both pre-orders AND unsold inventory, select both a vehicle inventory and orders to add to the ledger.

  3. Once the driver is ready to head out, click the Depart button on their delivery ledger.

For Drivers

  1. As the driver completes their orders, they can mark them fulfilled using the delivery tool here. (Alternatively, orders can be marked fulfilled in Admin)

  2. If a driver accidentally marks an order fulfilled, it can only be updated to new/packed/canceled within Admin.

  3. When they return to the licensed premises, either the driver or dispatcher must report the end time of the delivery trip by finding their ledger in Meadow Admin and clicking the Complete Ledger button.

  • What do I do if a customer cancels an order?

    • If you have an order on a departed ledger and the customer cancels, you can leave the order unfulfilled. At the end of the delivery trip when you click "complete ledger," the order will be removed from the ledger (and you will be able to cancel it).

  • Can I edit orders after they depart?

    • For hub and spoke orders, you can only remove items from the order. If you are doing dynamic delivery (with a vehicle inventory attached to the ledger), those orders can have the items in the vehicle added to those orders.

  • How can I move an order from a departed ledger to another ledger?

    • There isn't currently a way to remove an order from a departed ledger. The best option in those cases is to create a NEW order and attach it to the new ledger. When the first driver ends their ledger with the original order, you will be able to cancel it.

Notes:

  • Do not click depart until the driver is actually leaving. Make sure that all inventory in the vehicle is reflected on the ledger, either by assigning pre-orders, a vehicle inventory, or both.

  • Do not depart a ledger with any orders attached that are not in the vehicle.

  • Make sure to delete or complete any ready/departed ledgers by the end of each day.
