Master your operations with precise Team Permissions

Use Team Permissions to make sure everyone has access to what they need (and only what they need) in the system.

Updated over 9 months ago

As Meadow's tools and features have grown more powerful, it's become more important to control who has access to what.

Only full permission admins have access to every area of Meadow.

We outline the admin permission system in three ways below:

  • By admin permission (what action each permission enables)

  • By Admin, iOS feature (what permission is required for a specific action, tool)

  • By role in your organization (suggested permissions based on responsibilities)

Meadow permissions list

A list of all permissions in the system - Permissions can be added/removed from any admin account by an admin with full privileges.

  • Full Privileges
Ability to access all areas, functions and settings of Meadow Admin and iOS app.

  • View Products
This permission is required to see your Products list in Admin, including the sections within Products such as brands, compounds, etc. It is not required to access any of the tools in the iOS app.

    Sub-permissions

    • Edit Products: allows the user to edit any product information (except price)

      • Edit Prices: this permission is required to create products or edit prices of existing products.

  • View Inventory & Create Transfers
Allows the user to view Inventory quantities and move products between locations/vehicles using inventory transfers.

  • Sub-permissions

    • View Inventory Value: allows the user to view the total cost basis of products in the inventory list and velocity table.

    • Edit Inventory: allows the user to perform actions that change the quantity of products in inventory, such as purchase orders, reconciliations and cycle counts.

  • View Dashboard
Allows the user to view the Dashboard.

  • View Insights

  • Sub-permissions

    • Edit Orders Access: Allows the user to edit orders - add/remove line items or units, apply discounts and adjustments, remove or assign an inventory location/vehicle, and change the status of orders (such as marking packed or fulfilled).

    • Can edit or cancel fulfilled orders: Allows the user to cancel orders that have been previously marked fulfilled.

  • Customers Access
Allows the user to view the Customers list and create, edit, merge or delete customer profiles.

    Sub-permission

    • Modify loyalty points and store credit: Allows the user to add/remove loyalty points or store credit from customer profiles.

  • Marketing
Allows the user to view the Marketing tools in Admin (currently unavailable).

  • Manager Permission & Setting
Allows the user to perform important functions: the manager permission acts as a gate on several features in Admin and the app. Some of features always require manager permission, and others depend on a setting:

    • POS

      • Setting: Custom discounts require manager.

      • Setting: Package selector requires manager (when combined with "Always show package selector," all users except managers must scan products into the cart at POS).

      • Setting: Applying tax exemption requires manager.

      • Setting: Manager required to open/close shifts.

      • Setting: Manager discount % cap.

    • Cycle Counts

      • Select a compliance reason for adjustments (reported to Metrc).

      • View and resolve cycle count conflicts in submitted counts.

      • View missing products (products expected in inventory but not included in the count).

  • Settings Access
Allows the user to view Settings but not edit them.

    Sub-permission

    • Edit Settings: Allows the user to edit all Settings, except for taxes, admin access, Metrc settings and API integrations (which require full permissions).

  • Reports
Allows the user to generate and download Reports.

    Sub-permissions

    • Every report in Meadow has its own sub-permission, allowing the user to generate and view that specific report.

    • If a user does not have permission for a given report, they will not be able to generate, view or download that report.

By Role 👩‍💻

A list of possible roles and suggested permissions each might require.

  • Owner

    • Full permissions

  • General Manager (GM)

    • Full permissions OR any permissions needed + manager

    • At a minimum, GMs will likely need all Products, Inventory, Shifts, Orders, Customers and Settings permissions, as well as the Manager permission.

  • Floor/shift manager

    • Order Access + Edit Orders Access + Customers Access + Manager

    • Shifts permission if you want to provide access to shift details at POS.

  • Purchasing manager

    • View Inventory + Edit Inventory

      • Allows an admin to view inventory levels as well as create purchase orders and make reconciliations that adjust inventory quantities.

    • Edit Prices if they will also create new products or edit existing.

  • Inventory manager

    • View Inventory + Edit Inventory

      • Allows an admin to view inventory levels as well as create purchase orders and make reconciliations that adjust inventory quantities.

    • Edit Prices if they will also create new products or edit existing.

  • Marketing manager

    • Marketing permission

    • Allows the admin to see the marketing tab (if available).

  • Front desk (customer intake)

    • Only requires Customers Access

    • Allows your front desk admin to create and edit customer profiles.

  • Budtenders

    • Order Access + Edit Orders Access + Customers Access

    • Allows an admin to perform budtender actions - creating, editing and checking out orders, as well as manage customer profiles.

  • Order fulfillment (packing)

    • Orders Access + Edit Orders

    • Allows the admin to mark an order as packed in Admin or using the iOS packing tool.

  • Delivery dispatch

    • Orders Access + Edit Orders + Customers Access

    • Allows admin to manager customer profiles, assign orders to specific drivers or inventory locations, or change the order to update the driver assigned.

  • Delivery driver

    • Orders Access to view orders list

    • If you use an external driver management tool like Onfleet, your drivers may not require any direct access to Meadow - this depends on your operation.

  • Other Roles

    • If your organization needs to add more admins, use the details above to determine what permissions they will need. For example, if you are providing an accountant or auditor direct access, you may want to limit their account to specific reports only (such as Orders, Taxes, Current Inventory, etc.)

Managers: Permission & Settings

The "Manager" permission acts as a gate on several important features in Meadow.

Some of them are by default, and others depend on a setting

Such as:

    • Setting: Custom discounts require manager

    • Setting: Package selector requires manager (when combined with "Always show package selector," all users except managers must scan products into the cart)

    • Setting: Applying tax exemption requires manager

    • Setting: Manager required to open/close shifts

    • Also manage shifts? (un/finalize, adjust)

    • Setting: Manager discount % cap

  • Cycle Counts

    • open/close/finalize/delete count;

    • select compliance reasons for adjustments reported to Metrc;

    • view and resolve cycle count conflicts

    • view missing products (expected in inventory but not on the count)
