You can enter data into your media plans in a number of different ways

How to enter data into your plans

All data entries in Mediatool are input within the Sheet View of a plan. To enter data, follow these step-by-step instructions:

  1. Create or Open a Plan: Start by creating a new plan or navigating to an existing one.

  2. Locate Sheet View: Hover over "Media Plan" in the left-hand menu (⚠️ not the same as "Media Overview"). Sheet View is the second option in the dropdown that appears.

πŸ’‘ If you're in the calendar view, delivery plan, or approval requests, you can also quickly access the Sheet View through an icon in the top left corner of the screen, as shown in the picture below.

Add data line-by-line

To add data line-by-line in Mediatool, follow these steps:

  1. Input Data: Begin by entering data into the cells. You must input a Media Vehicle, a Start Date, and an End Date which are required fields meaning they are obligatory to be filled in for the entry to be saved.

  2. Check for Required Fields: If any required field is left unfilled, your data won't save. You'll see notifications indicating errors:

    • The required field will display the text *Required in red.

    • The row number will be highlighted in red.

    • A message stating "Sheet contains errors" will appear.

  3. Validate Dates: Ensure that the dates for your line-entry match the plan period set in the Plan Setup. If the dates are outside the selected period, the date field will turn yellow.

  4. Data is saved automatically: Once all required fields are correctly filled, a green notice stating "All data saved" will appear, confirming your entry has been successfully recorded.

πŸ’‘ To add and view data more comfortably in the sheet view, you can switch to fullscreen by clicking on the fullscreen icon located above your sheet to the right. This mode provides extra space to easily manage your entries. To exit fullscreen, simply click the same icon again or press the Escape key on your keyboard.

Copy & Paste

You can easily copy data from Excel sheets or other spreadsheets and paste that data directly into your media plan.

Follow these steps to copy and paste data:

  1. Prepare the Data: Ensure that the number and date formats in your Excel sheet match the settings in Mediatool.

  2. Copy Data: Select and copy the data you want to transfer from the Excel sheet.

  3. Paste into Mediatool: Navigate to the appropriate media type in your media plan and paste the data.

You can also copy-paste rows. Follow these steps to copy and paste data:

  1. Select a Row that You Want to Copy: You can select the whole row by clicking on the number under the column "Total".

  2. Copy Data: When the row is selected it'll be highlighted in light grey - press Ctrl+C (on Windows) or Command+C (on Mac).

  3. Paste Data: Click on the number under the column "Total" with an empty row and press Ctrl+V (on Windows) or Command+V (on Mac).

πŸ’‘ Alternatively, to copy a row or a part of it, highlight the cells you want to copy, click on the tiny blue square in the right corner of the selection, and drag it down to the number of rows you need.

Import an Excel file

You also have the option to import an Excel file. The data will be added to the current tab that you are in when importing. You will find the import option right above your sheet view.

  1. Navigate to the Correct Media Plan: Start by finding your media plan or creating a new one.

  2. Access the Correct Tab: Locate and click on the appropriate media type at the bottom of the sheet view.

  3. Initiate the import: Begin by clicking on the 'Import' button.

    1. Upload Your File:

      • Drag and drop your file into the designated blue area. Please make sure your file is properly formatted according to the guidelines provided below to ensure file compatibility.

    2. Select Sheets for Import:

      • Choose the specific sheets you want to import from your file. Once selected, click 'Next' to proceed.

    3. Match Columns Accurately:

      • Verify that all columns from your file correctly correspond to the destination columns in Mediatool. Ensure accurate data mapping to avoid errors.

    4. Complete the Import:

      • After ensuring all settings are correct, click on the 'Import' button to finalize the process.

  • Make sure your file only contains raw data like in the image above

  • Column headers should be in the first row of the file

  • Data should be formatted according to their types:

    • Dates as dates, numbers as numbers, etc.

  • Dates are not guaranteed to be correct from CSV

    • The date format in the CSV file must match your date format in Mediatool
