How to add exhibitors to the Application?

If you're organizing an event where the exposure of your event's partners is particularly important (trade shows, conferences with dedicated space for Partners), this is the module where it will be best to gather all information and contact details about exhibitors. An easy-to-read list of exhibitors, highlighting VIP statuses, will make it easy for attendees to browse profiles and find the content they are looking for, and even redirect to the exhibitor's booth on the interactive map!

Adding exhibitor profiles - basic information

If you want to add new exhibitors to the list, select the Content section in the top menu, and then the Exhibitors module in the side menu. When you are in its edition, at the bottom of the page, select the icon (+) Add new exhibitor. To create a new profile, only the name of the exhibitor is required. It is a good idea to complete the exhibitor's profile with more detailed information, such as a logo, website address, Youtube channel or contact to a person who can be reached during the event, if necessary. With a full description, you will enable event attendees to get to know the participating companies better, so you will affect their proper exposure:

Add Exhibitor Tags – with this function, you can create search terms, which, if entered into the search box, will help the participant find a specific set of exhibitors. This function allows you to group exhibitors by any type of business.

VIP Status – by selecting this option, the selected exhibitor acquires VIP status, which allows the profile to be displayed at the top of the list of exhibitors in the mobile app, along with a noticeable VIP icon. It also gives you the opportunity to supplement the profile with an additional photo to identify it clearly in the mobile app and on the dedicated event Landing Page.

Social Media – here you will add links to the exhibitor's social media profiles in the mobile app. You can decide whether you want these links to be displayed only to logged-in attendees, by selecting the Only for Logged-in option.

Contacting an exhibitor during the event

In the app, you can indicate who represents a particular exhibitor. Choose one of the two available options to do this:

  • CONTACT PEOPLE – by selecting the icon (+), you will move to the creation of the profile of the exhibitor's representative. His or her contact information will be visible to all event participants in the mobile app and on the dedicated website, but will not allow direct contact in the app and the event Landing Page.

  • CONTACT USERS ON EVENT - clicking on the Click to select user button opens a list of all event participants (logged in or imported), from among which we select representatives. The selection of this option is recommended due to the fact that it allows the participant to directly interact with the representative in the form of a direct text message or an individual video call. Other attendees browsing the profiles of your exhibitors can send a private message to the company's representative arranging a meeting or discussing, for example, a product or service presentation also shared in the company's profile.

NOTE!

A representative of the type Contact users on event must log in to the application first or should be imported into it to allow adding him/her to the exhibitor profile. He will also be visible as a participant in other modules, such as Business Matching or Attendees.

Contact information – you can also add contact information in a more traditional way, by inserting your company's email address or phone number into this section. Also decide if this data should be public. Selecting the Only for Logged-in button will make them visible only to logged-in attendees.

Importing exhibitors into the application

Link to live streaming of the event

If the event is hosted online, you can add a link to a live streaming, an exhibitor-led webinar or a pre-recorded video. Such a link gives you the opportunity to add additional materials by the exhibitor.

Interactive Map with exhibitor booths

To create an interactive map of the event, add the Interactive Map module to the application. Learn more about the Interactive Map module in this article. It supports the participant's navigation through the venue during the event, and allows you to show the exhibition space including the booths of other exhibitors. If necessary, you can add multiple exhibitor profiles to the created booth. Each exhibitor profile added in this way will get a "show on map" function, which will help attendees easily locate the one they are looking for.

Dedicated exhibitor files

You can add any file(s) to your exhibitor profile, for example, with your current offerings, a list of available products at the event or an exhibitor presentation. This will allow attendees to get to know the exhibitor better even before the event, as well as give the exhibitor the opportunity to highlight for example a special offer that has been prepared. The file can be added in jpg, pdf or png format.

Exhibitor Moderator
