Access to Minga depends on a user's profile having been created. If your site is not automatically rostering from your SIS, or you want to add users to get a head start, an Owner or Manager can manually add users.
Importing a list is the fastest way to populate your Minga for a new school year or to refresh your roster from your SIS.
This is especially useful for school or district admins who need to add or update large groups of Owners, Managers, Teachers, Staff, Students, and other roles in one upload.

Importing a list lets you add new users, update existing users, and optionally archive users who are no longer on your roster.

Export your roster from your SIS.
Download a file that includes everyone you want in Minga for the upcoming year (Administrators, Counsellors, Teachers, Staff, Students, Student Leaders, and more).
Navigate to People from the main menu.
Select the Import list button
Upload or drag and drop your Excel or CSV file.
On the Default role (required) dropdown, select the default role for the users you are uploading.
This will apply if you have not included a Role column on your file.
On the What to do with people that already exist dropdown, select what action you would like to happen:
Select Update fields if they already exist if you want to update information from your file if the field is already complete in Minga.
Select Skip people that already exist if you want to ignore any people or fields that already exist in Minga.
Decide if you want to Archive existing users with the default role not on list.
Checking this setting will permanently remove users with the default role selected if they are not included on your file upload.
Map your columns
Use the drop-downs to select the correct header for each required field.
Click the arrow to view columns to the right, if needed.
If your file includes a Role column, map it during this step so fewer users fall back to the default role.
Select First Row Contains Headers if the first row of your file contains the label for the column (i.e Name, Student ID etc)
Click Import List.
Review the results
• Review the Upload Summary to see how many users were added, updated, and will be archived.
• Review the Archive Summary.
• Click Review users to be archived to download and review the CSV of users slated for archiving

Pro Tip: Keep a dated copy of the exact file you imported so you can audit changes later (especially if you archived users).

Log in to Minga.
Go to app.minga.io and sign in.
Open the People Dashboard.
From the main navigation, select People.
Create a new User Profile.
Click Add Person.
Enter personal information.
Fill in the required fields (see “Additional features or settings” for a full list).
Select the user’s grade and role.
Choose Grade and Role for the new user.
Save and notify the user.
Click Save to create the user and let them know they can log in.
Required and Recommended Data Fields
To import users, build an Excel or CSV file with the fields below.
First Name (required)
Last Name (required)
Email Address (required)
This is the email address the user was added to your Minga with (Google, Microsoft, or another email provider).
Grade (strongly recommended)
Student ID Number (required)
Shows on the user profile and generates a barcode on the user’s ID card.
Role (required)
Identifies whether the user is an Owner, Manager, Teacher, Staff, Student Leader, Student, Parent, or Read Only.
You’ll be required to set a default Role during import. This fills in the role for anyone without a specified role in your file.
Role Values Accepted in Imports
Roles must be listed exactly as follows:
OWNER
MANAGER
TEACHER
STAFF
STUDENT_LEADER
STUDENT
PARENT
READ_ONLY
Important: If role values don’t match this format (for example, “Teacher” instead of “TEACHER”), those users may be assigned the default role instead.
Optional Fields
These fields are not needed to create a user profile in Minga, but can be helpful to have:
Birthdate (optional) - If their birthdate is added, the user will be included in birthday greetings in your Minga on their birthday.
Display Name Options
Note: Display Names in Minga are only visible to the user and on the main feed when the user makes a comment or engages with challenges and polls. Names as they are entered from the SIS will show in reports and in the People Selector.
This is the name that will show up in Minga for the user. By default, for Students and Parents, it is first name + last name (e.g. John Denver), and for Owners, Managers, Teachers, and Staff, it is, first initial + last name (e.g. J Denver).
To set a custom display name for an individual user (example: “Mr. Denver” instead of “J Denver”):
Click the pencil icon next to the user in People Manager.
Check the box in the Display Name field.
Type the desired name.
Click Save.
Troubleshooting

Issue: Users imported, but many have the wrong role.
Solution: Confirm your Role column uses the accepted role values (example: TEACHER, not “Teacher”), then re-import with correct values and set the right default Role.
Issue: Users are missing from Minga after the import.
Solution: Check whether Archive Existing Users Not On List was selected. Review the Archive Summary, then open the downloaded file from Review users to be archived to confirm who was archived.
Issue: Import won’t map fields correctly.
Solution: Select First Row Contains Headers, then re-check your column titles and re-map them using the drop-downs.
Pro Tip: If you’re unsure about archiving, run a first import with Archive Existing Users Not On List turned off, review results, then run a second import with archiving enabled once your file is confirmed.

Should I import Excel or CSV?
Either works. Use Excel if you want easier editing and validation while preparing your file, and use CSV if your SIS exports it by default (see “Upload your file”).
What happens if a user doesn’t have a role in my file?
They’ll be assigned the default Role you choose during import (see “Required and recommended data fields”).
Can I undo archiving users not on my list?
No. Archiving from Archive Existing Users Not On List cannot be undone (see “Choose whether to archive users not on the list”).
