Request Further Order Documentation - Overview

Overview

The Request Further Order Documentation feature can be accessed from the Orders Scan Actions page:

Once an order has a request for further documentation, the order will go into AWAITINGDOCUMENTATION status. The Awaiting Documentation order status is used to hold an order from being dispatched/ processed within Mintsoft. The status is used if you require additional documentation for an order before you can despatch it. You will also see a document request record within the order document section.

Note: The file size limit for order documents is 4MB. If you attempt to upload a document that is of a larger file size, you may experience an error page. If uploading a PDF document, you can find information on how to compress PDF files here.


Order Document Types supported

The following order document types are supported by the Request Further Order Documentation feature:

  • Commercial Invoice.

  • Alternative Despatch Note.

  • Invoice.

  • Order Spreadsheet.

  • Courier Label.

  • Archive Courier Label.

  • Product Info.


(3PL Only) Client user notifications set-up

For 3PL client users to get a notification regarding this request, please add the user to the notification page:

  1. Click Clients then Overview.

  2. Click Actions then Change Notification Settings against the specific client.

  3. Within the Order Notifications field select the Client Users to receive the notification.

  4. Finally, click Save.


Warehouse user notifications set-up

For warehouse/ admin users to get a notification regarding this request, please add the user to the notification page:

  1. Click Settings then Customer Account Settings.

  2. Click the Notifications tab.

  3. Within the Order Notifications field select the Warehouse Users to receive the notification.

  4. Click Save.


Requesting Further Order Documentation

To submit a request for order documentation, please follow the steps below:

  1. On the Scan Actions page.

  2. Scroll to the Request Further Order Documentation section.

  3. Select the Order Document Type.

  4. (Optional) Add a Comment.

  5. Click Request.

  6. Once the request is successful an email will be sent to the client user, and the order will be moved to AWAITINGDOCUMENTATION status.

Documentation Request Successfully Raised! But no users setup to email!

If you receive the following error (Documentation Request Successfully Raised! But no users setup to email!) when trying to request order documentation, please ensure you have followed the Client/ Warehouse user notifications set-up section(s).


Deleting a request

If a request for further documentation is no longer needed, you can delete the request by following the steps below:

  1. Click Orders then Overview.

  2. Search for the order or change the Order Status filter to AWAITINGDOCUMENTATION.

  3. Click Actions then Details.

  4. Click the Documents tab.

  5. Scroll to the Awaiting Order Documents section.

  6. Click Delete next to the affected document in the Actions section.

  7. This will then release the order back into the status it was in before the document was requested.
