Refunding a Sales Invoice

This guide will show you how to create a refund for a customers invoice

Creating a sales refund for a specific invoice in VGM is a simple and efficient process. Follow the steps below to complete this task.

  1. Navigate to Financial > Sales Documents.

  2. Right-click on the invoice and select "Convert to Sales Credit".

  3. In the sales credit window:

    • Remove any items that do not need to be refunded, or

    • Keep all items if the entire invoice needs to be refunded.

  4. Click "New Sales Refund" in the sales credit window.

    • Ensure the Date is correct.

    • Select the Payment Method from the dropdown menu.

    • Input a Reference if required.

  5. Click "Save"/"Save and Post to Ledgers" to create the refund.

Viewing Sales Refunds

Navigate to Financial > Sales Refunds to view the refund document.

Important Notes

  • Refunds will not appear on the original Sales Invoice.

  • To maintain clarity, we recommend adding a custom line to the refunded Sales Invoice. Include the following details:

    • Refund or Credit number

    • Date the refund was created

This ensures clear documentation for both you and the customer.
