Sales & Purchases Walkthrough for Company Portal Xero Integration

This walkthrough explains the process of integrating your sales and purchases data from Company Portal to Xero, focusing on sales as an example. The same process applies to purchases integration. This guide will help you send customers, suppliers, sales/purchase invoices, credits, and payments to your Xero system.

Getting Started

  1. Navigate to Integrations > Xero > Sales/Purchases in the top-left corner of the main Company Portal screen.

  2. Choose a branch from the dropdown box in the top-left corner. Click the Connect to Xero button on the right-hand side and follow the on-screen instructions to connect your Xero account.

Configuration

  1. Once connected to Xero, configure the integration settings as per your needs. Refer to the configuration guide for detailed options.

  2. Use the date pickers on the left to choose a date range for the documents you want to send to Xero. Click the Next button to proceed with the export process.

Handling Previous Documents

The export process will show documents that fall before the selected date range. Decide whether to include these documents using the Include and Don’t Include buttons.

Linking Customers and Suppliers

  1. The screen will display your VGM customers and suppliers, with their Xero contact status:

    • Black text: VGM customer is linked to an existing Xero contact.

    • Green text: VGM customer name is similar to an existing Xero contact and will be linked.

    • Yellow highlight: No matching Xero contact found for the VGM customer.

  2. Double-click a customer’s row to open the Add/Edit customer window. Enter a Xero contact name to search for an existing contact or create a new one.

  3. Review the contacts to be created. Click Continue, then Confirm to create and link these contacts in Xero.

Importing Documents

After linking customers and suppliers, review the summary of invoices and credits to be imported. Click Import, then Confirm to send these documents to Xero.

Handling Errors

Errors may occur due to incorrect configuration or data issues (e.g., wrong nominal codes).These errors will be summarized on the final page of the integration process. Download a spreadsheet of errors if needed for later correction.

Re-run the export process to successfully import the corrected documents.
