Export Professional DOCX with Letterheads & Signature

How to export DOCX files, apply letterheads and signatures, and troubleshoot signature size or bullet formatting.

Set up once

  • Open Settings > Letterheads to upload your clinic letterhead.

  • Open Profile to add your Signature.

  • Keep signature images and logos legible at print size.

Export a document

  1. Open the generated session summary or letter.

  2. Click Download or Export.

  3. Choose DOCX.

  4. Open the downloaded file and check formatting before sending.

Using signatures in DOCX document templates

If you are building a DOCX document template, you can use {{user.signature}} where the user's signature should appear. You can also use {{motics.summary}} for the generated summary and {{date}} for the current date.

If the signature is too large

  • Check the signature saved in Profile.

  • Use a smaller or better-cropped signature image.

  • Avoid placing a large signature image inside a narrow table cell in the DOCX template.

  • Regenerate and export again after updating the signature.

If bullet points look wrong

  • Keep bullet formatting in the template simple.

  • Use normal bullet lists rather than heavily nested lists.

  • Avoid mixing manual hyphens and formatted bullets in the same section.

  • If the issue repeats, add a template instruction such as Use simple bullet points with one sentence per bullet.

Quick QA before sending

  • Check clinic details and letterhead placement.

  • Check the date format.

  • Check signature size and placement.

  • Scan for medication, dose, referral, and safety-netting accuracy.

  • If you repeatedly fix the same formatting issue, update the template rather than editing every export manually.

When to contact support

Contact Motics support if the DOCX consistently exports with incorrect formatting after you have checked the template and signature. Include the template name, exported file type, what looked wrong, and a screenshot or example export.
