Creating Custom Letterheads in Motics

Upload a DOCX template so every document downloads with your branding.

Overview

Letterheads let Motics produce professional DOCX downloads using your clinic branding, footer text, and saved signature.

What you need

  • A Motics account with access to Settings and Letterheads.

  • A DOCX letterhead file built in Microsoft Word or another DOCX-compatible editor.

  • Your signature saved in Profile and Signature if you want Motics to insert it automatically.

Build your DOCX template

  1. Open a new DOCX file.

  2. Add your logo, address, footer, disclaimer text, or other clinic branding.

  3. Add merge fields where Motics should insert generated content.

  4. Save the file as .docx.

Common merge fields

  • #{{date}} inserts the document date.

  • #{{summary}} inserts the generated note, summary, or letter body.

  • #{{user_signature}} inserts your saved signature.

Only include fields you need. Motics fills the fields that exist in the uploaded DOCX.

Upload or replace a letterhead

  1. Open Settings.

  2. Go to Letterheads.

  3. Upload your DOCX file.

  4. Generate or open a session and use Download as DOCX.

If no letterhead is configured, Motics creates a plain DOCX document.

Troubleshooting

  • If content appears in the wrong place, check that the merge field is typed exactly and is not inside an unsupported Word element.

  • If the signature is missing, confirm it is saved in Profile and Signature.

  • If the layout changes after download, simplify the Word template and avoid nested tables where possible.
