Before you start
You need Phone Agent enabled for your organisation and owner/admin-level access. Your role must be able to spend credits.
If you want the agent to book appointments, check availability, or look up patients automatically, connect Cliniko or Nookal first from Phone Agent > Integrations.
Create a new Phone Agent
Open Phone Agent.
Go to Agents.
Click Create Agent.
Enter the clinic name and clinic website.
Choose whether to connect a practice management system.
Select the clinic locations the agent should handle.
Review and edit the generated configuration.
Choose the voice and telephony settings.
Create the agent.
Connecting Cliniko or Nookal during setup
During the PMS step, Phone Agent can check whether Cliniko or Nookal is already connected. If it is not connected, click the setup link to open Phone Agent > Integrations, connect the PMS, then return to the agent setup and re-check the connection.
Your progress is saved automatically while you complete the integration.
If you skip PMS integration
You can skip PMS integration for now. The agent can still be configured for clinic information, call handling, policies, and manual follow-up, but it will not be able to automatically check PMS availability, look up patients, or complete booking workflows.
What to review before going live
Clinic locations and opening hours.
Services and appointment types.
Team members and which locations they work at.
Emergency handling instructions.
Special instructions and policies.
Transfer targets and whether transfer screening is enabled.
Voice, pronunciation rules, and language settings.
Phone number assignment.
Save or resume setup
If you leave setup part-way through, Phone Agent saves draft progress. Return to Phone Agent > Agents to continue or discard the draft.
When to contact support
Contact Motics support if the PMS connection repeatedly fails, the expected clinic locations do not appear, the agent cannot be created after setup, or you cannot assign a phone number.
