How to use a different template when a session was recorded as follow-up but needs an initial assessment style note.

Quick answer

You can regenerate a session using a different template. For example, if a consultation was recorded as a follow-up but you need an initial assessment style note, open the session in History, click Regenerate, and select the initial assessment template.

Steps

  1. Open History.

  2. Open the session you want to reuse.

  3. Click Regenerate or Regenerate Summary.

  4. Select the initial assessment template.

  5. Add Specific Instructions if needed.

  6. Generate the new version and review it.

Useful Specific Instructions

  • Write this as an initial assessment note using only information discussed in the session.

  • Include history, objective findings, assessment, plan, safety-netting, and follow-up where mentioned.

  • If information required for an initial assessment was not discussed, do not invent it.

Important limitation

Motics can reformat and reinterpret the session into a different template, but it cannot create clinical details that were not discussed or recorded. If the original session lacks initial assessment content, the generated note may still have gaps.

When to create a separate template

If this happens often, create separate templates for initial assessments and follow-ups. Initial assessment templates usually need more history, baseline function, objective findings, and clinical reasoning. Follow-up templates usually focus more on progress, response to treatment, plan changes, and next steps.
