Our Approach to Privacy

We strive to be good stewards of data at NextMe and have built flexible privacy tooling into our product to make sure your business can use NextMe in compliance with internal or external privacy requirements (HIPAA, GDPR, SOX, etc). Privacy requirements can be complex and are always evolving. If our existing tooling doesn't meet your data needs, we have a suite of custom scripts and solutions that can likely accommodate your requirements. Guest Data

We define guest data as the information you collect from a waiting customer when they are added to the waitlist. Some of this data is personally identifiable information (PII), which is why we offer a convenient Guest Data Policy setting that gives you control over the amount of data NextMe stores about each guest. Your options are "Retain", "Anonymize" and "Delete", explained in detail below:

Guest Data Policy

Description

Retain

The default setting. All guest information is stored as long as the business remains active (including personally identifiable information). This allows NextMe to recognize guests next time they join the waitlist and autofill their previous information and preferences.

Anonymize

All personally identifiable information for a guest (including name, phone, email, and any custom fields) will be removed within 1 hour after they leave the waitlist (expiration threshold is reached). The history of the visit will remain, but in a fully anonymized state. When using this option, please note:

  • Repeat guest lookup will not be available when adding a guest.

Delete

Our strictest policy. All guest data is permanently deleted within 1 hour after they leave the waitlist (expiration threshold is reached). When using this option, please note:

  • Repeat guest lookup will not be available when adding a guest.

  • Some of our analytics metrics may be inaccurate due to deleted records.


Premium Data

We define premium data as data that is associated with a premium subscription plan. We reserve the right to delete your premium data if your business is no longer on a plan level that supports it. When your trial period expires or you cancel/downgrade, your premium data will be retained by NextMe for a period of time in case you decide to upgrade again.

14 days after cancellation or trial expiration. If data is not restored within this period, it will be permanently deleted.

Inactive Account Deletion

For any Free Plan users, all user and related business data shall be deleted if said user has not been active (e.g., has not accessed the NextMe platform by logging in to an account, has not modified their data in their NextMe account) for a period of two (2) years.
