SharePoint Sync for Past Performance and Key Personnel

How to sync Past Performance write-ups and Key Personnel resumes from a connected SharePoint site into your NextStage library, including setup, review, and permissions.

Overview

SharePoint Sync lets you pull Past Performance write-ups and Key Personnel resumes directly from a connected SharePoint site into NextStage, instead of uploading each document by hand. This is a one-way, pull-only sync: NextStage reads files out of SharePoint and creates or updates records in your Past Performance library and Key Personnel workspace. It does not write back to SharePoint, and does not modify or move your source files.

This feature depends on the SharePoint Integration already being connected. As with all SharePoint access in NextStage, sync only sees files the connecting user already has permission to view in SharePoint.


Prerequisites

  • The SharePoint Integration connected for your workspace.

  • Read access is sufficient for sync, since it only pulls files in. If your tenant enforces Sites.Selected, the site(s) containing your Past Performance and Key Personnel source documents must be granted at least Read to the NextStage app. See Sharepoint Sites.Selected Permissions.

  • A consistent folder structure in SharePoint for source documents, for example a top-level Past Performance library folder (CPARS reports, contract summaries, writeups) and a top-level Key Personnel folder (resumes), makes matching and review much faster.


Syncing Past Performance

  1. Go to the Past Performance icon in the main left navigation menu to open your organization's full library.

  2. Click Sync With SharePoint at the top of the page.

  3. NextStage scans the folder and presents the documents it found. For each document, NextStage will either flag it as new, and stage it as a new draft Past Performance record for you to complete (Agency, Contract Value, Period of Performance, Role, Workshare, etc. still need to be filled in or confirmed, since sync brings in the document, not the structured metadata).

  4. Review the staged matches and new records, then confirm the import.

Synced records land in your library the same way manually created ones do, and become available to Kickoff Package's Past Performance matching once their required fields (Agency, Total Contract Value, Company Value, Period of Performance, Role, Workshare, Summary) are filled in. Syncing Key Personnel

  1. Go to the Key Personnel workspace from the main navigation.

  2. Use the equivalent Sync With SharePoint option to select the SharePoint site and folder containing your resumes.

Once imported, these candidates are available for NextStage AI to recommend against key personnel roles during Kickoff Package, the same as any other candidate in your Bench. See Key Personnel for how AI recommendations and Bench setup work.


Troubleshooting

  • Sync With SharePoint doesn't appear: confirm the SharePoint Integration is connected for your workspace under Admin > Integrations, and that you have permission to view Past Performance or Key Personnel.

  • A document doesn't show up during sync: confirm the connecting user has at least Read access to that file/folder in SharePoint. NextStage only sees what the authenticated user can already see.

  • A document matched to the wrong record: unmatch it during the review step and either match it manually or create a new record instead.

  • Resume fields come in incomplete: extraction quality depends on the resume's formatting; verify and correct fields during review before confirming the import.
