Written by Kevin Kariuki
Updated over 2 months ago

Here is the updated Master Comprehensive User Guide v2.2 for the Nexuscale AI platform. This version incorporates the automated "First Agent" creation upon sign-up, the timezone configuration location in the Profile, and the specific conditional logic regarding Autosend and campaign approval.

Nexuscale Platform: Master User Guide & Knowledge Base

Version: 2.2 (January 2026)

Purpose: Comprehensive documentation of platform functionality, workflows, and administration.

1.0 Authentication & Onboarding

1.1 Login Protocol

Nexuscale offers two secure methods for user authentication.

Method A: Google OAuth (Recommended)

  • Access: Navigate to the login page.

  • Action: Click "Sign in with Google."

  • Logic: If the user is already logged into a valid Google account, Then access is granted immediately without OTP.

Method B: Password-less OTP

  • Access: Navigate to the login page.

  • Input: Enter a valid email address in the designated field.

  • OTP Generation: The system sends a One-Time Password (OTP) to the provided inbox.

  • Verification: User retrieves the OTP and enters it into the login screen to authenticate.

1.2 AI Identity Resolution & Automated First Agent

Upon initial account creation, the system triggers the automated onboarding sequence.

  1. URL Input: User provides the corporate website URL.

  2. Crawling & Analysis: The AI scrapes the website to extract brand voice, product description, and Ideal Customer Profile (ICP).

  3. Automated Agent Creation:

    • Logic: If this is the user's first sign-up, Then the system automatically builds the First Agent using the extracted data. This Agent is pre-configured with a draft campaign goal and initial settings, ready for review.

  4. Validation Screen: The user verifies the company attributes and clicks "Find Targets" to finalize setup.

2.0 Infrastructure Management

2.1 Mailbox Connectivity

Users must connect sending accounts to enable email outreach.

  • Supported Providers: Gmail, Outlook, Zoho(sunsetted), SMTP/IMAP.

  • Connection Workflow:

    • Gmail/Outlook: Uses direct OAuth API integration.

    • SMTP: Requires server host, port, and SSL/TLS configuration.

  • Capacity Settings:

    • Daily Email Capacity: User selects a specific limit via dropdown to cap sending volume per inbox.

      • Recommendation: 30 emails/day per mailbox to ensure deliverability.

    • Mailbox Rotation: (Toggle: ON/OFF). If multiple mailboxes are connected, Then the AI distributes sending volume across them to prevent spam flagging.

2.2 Email Warming (Deliverability)

To maintain high domain reputation, Nexuscale includes an integrated warming feature.

  • Functionality: Generates artificial conversation traffic between the user's inbox and a network of secure inboxes to signal "human behavior" to ESPs.

  • Activation:

    1. Navigate to Sidebar > My Mailboxes > [Select Mailbox].

    2. Locate the "Email Warming" toggle switch.

    3. Action (ON): The system begins sending background warming emails.

  • Best Practice: Keep warming ON for new domains or mailboxes with low prior activity.

2.3 LinkedIn Outreach Integration [BETA]

Nexuscale supports multi-channel outreach via LinkedIn, requiring a browser-side bridge.

  • Prerequisite: The user must install the proprietary Nexuscale Chrome Extension.

  • Usage: If installed and synced, Then "LinkedIn" becomes an available channel within Agent configuration.

3.0 Target Discovery & Management

3.1 Target Search (Lead Finder)

Access to the global database of 200M+ B2B contacts.

  • Input Methods: Natural Language queries or Smart Suggestions.

  • Hard Filters (Left Panel): Management Level, Company Size, Geography, Contact Status.

3.2 Processing Search Results

Upon generating a list, the user has two primary actions constrained by Plan Limits:

  • Assign to Agent: Direct transfer to an Agent; this action automatically initializes a Campaign. User specifies the count (e.g., 100 leads).

  • Export as CSV: Download data for external use.

3.3 "My Targets" (CRM View)

The repository of all saved or imported contacts.

  • Target Profile: Displays Lead Score, AI Insights, and Activity History.

  • Unsubscribe Logic: Toggle "Unsubscribe Target" to permanently block emails to that contact from all agents.

4.0 The AI Agent (Campaign Engine)

4.1 Agent Construction

  • Creation Modes:

    • AI Assisted: User inputs a text prompt; AI generates the structure.

    • Clone Agent: Duplicates an existing agent.

    • Automated (First Run): As noted in 1.2, the First Agent is auto-built upon sign-up.

4.2 Campaign Configuration

  • Campaign Goal: Text field defining the objective.

  • Language Support: Dropdown selection triggers translation/localization.

4.3 Content Generation & Logic

  • Email Body: Dynamic AI content or manual static text.

  • Follow-Up Sequence: Triggered only if the prospect does not reply.

5.0 Execution & Workflows

5.1 Assigning Targets to Agents

Targets can be added via Leads Finder, CSV Upload, or Target Lists.

5.2 Assignment Configuration & Autosend Logic

When adding targets to create a campaign, the user must define scheduling and automation preferences.

  • Schedule: Start Date.

  • Autosend Toggle:

    • If Autosend is ON: Emails are generated and scheduled for delivery automatically without manual intervention.

    • If Autosend is OFF: The Agent generates the emails, but the campaign enters a "Pending Approval" state. The user must manually review and approve the campaign before any emails are sent.

5.3 The Approval Queue (Human-in-the-Loop)

If Autosend was set to OFF during campaign creation:

  • Trigger: Agent generates a batch of emails.

  • Notification: User receives an alert for "Action Required."

  • Action: User accesses the Agent Dashboard, reviews emails, edits if necessary, and clicks Approve to move them to Scheduled status.

6.0 Monitoring & Analytics

6.1 Dashboard

The central command center. View Agent Performance, Analytics, and use Quick Actions to reply to leads.

6.2 Onebox (Unified Inbox)

A unified hub aggregating all connected mailboxes. View Sent, Delivered, Replies, and Scheduled metrics.

6.3 Task Management

Manage manual or AI-suggested tasks (Pending, Completed, Overdue).

7.0 Administration & Profile

7.1 Seats & Users

Manage user roles (ORG Owner vs. User) and view seat limits.

7.2 Profile Settings (Timezone & Signature)

  • Timezone Configuration:

    • Function: User sets their local operational timezone here.

    • Logic: All campaign schedules and sending windows are synchronized to this specific timezone setting.

  • Signature: User inputs text/HTML signature, which is globally appended to all emails sent by Agents linked to this user account.

7.3 Billing & Credits

  • Billing: Manage subscription tier.

  • Credit Transfer: Transfer assets (Contacts, Mailboxes, Agents) between Organization workspaces instantly if the user is an Admin of multiple Orgs.

7.4 Support & Training

  • Nexuscale University: Access demo videos and tutorials.

  • Support: Direct link to the ticketing system.
