Officials are the backbone of any Notch group. When you add an official to your group they will be able to request game assignments, if enabled, and appear under the "Official Availability" list when assigning games.
The Notch platform offers two different ways to invite officials to your group. In this guide we are going to walk through the different methods and provide the information you need to get started.
Getting Started
First, sign into your assignor dashboard here. Once signed in go to the "Officials" page by clicking the on the word 'Officials' in the bar at the top of the page.
While this page has a lot to explore we are going to keep our focus on 3 areas ; Active Officials, Pending Officials, and the 'New Official+" button.
By default the "Officials" page will open with the 'Active' tab displayed. This tab will contain all the officials that are actively linked to your group. While the 'Pending' tab will contain all the officials who have received an invitation to your group but have yet to accept the invitation.
Lets get started by inviting our first official. To begin you will need to press the "New Official+" button. This button is located towards the top of the page as shown above.
When you click on this button a popup window will appear as shown below.
Here's a quick overview of the fields and options:
Email Address - This is the field where you will enter the officials email address.
+ Add Another - By clicking this button you can add another official to the invite.
Customize your invitation - Allows you to add a personal message to the invite if you wish.
Copy Link - Instead of sending an email you can copy a invitation link to provide to officials. We will cover this more in a later section.
Cancel - Close the window without sending any invitations.
Send Invite - Send the invitation to the official(s) list in the "Email Address" portion.
Once you have filled out the required fields and clicked the "Send Invite" button you will see a success message on your dashboard. Meanwhile, your official(s) will receive an email like the one shown below.
Remember! Invitation emails and links only last for 7 days. Should your official take longer than 7 days to accept you invitation you will need to resend the email or link for them to try again.
Direct Link Invitations
This method will allow you to copy an invitation link to provide to all of your officials. If inviting multiple officials all at once you may find this to be a more effective solution for onboarding your officials.
To obtain an invitation link simply click the "Copy Link" mentioned previously.
This will copy the invitation link to your clipboard. You can then either paste the link into a mass email or other document/message to your officials. Once the official(s) click on the link they will be brought asked to either register a new account or link an existing account to your group, just like with an email invitation.
