Setting Up Plays

Inside the Play Details Page

When you open any Play and navigate to the Details tab, you’ll see everything you need to understand how the Play works, who it will reach, what it will send, and when it will run. The Details page is divided into three main sections:


📝 1. Overview

This section explains the purpose of the Play and the benefits of turning it on.
Every Play has a unique overview tailored to its specific goal—for example, welcoming new patrons, inviting subscribers, or driving donations.


🎯 2. Play Details

The Play Details area walks you through exactly how the Play is set up, using a simple sentence-style format:

“If a patron [does X], then [do Y], and send this email every [Z].”

Each Play Details page includes three key components: audience, action, and schedule.


👥 Audience

This shows the group of patrons targeted by the Play.
Think of it as a prebuilt segment created for you automatically.

  • Some Plays allow you to edit the audience criteria

  • Others are fixed, based on the type of Play

Examples:

  • “New patrons” for Thank You Promos

  • “Highly engaged patrons” for Subscriptions

  • “Lapsed patrons” for reengagement


⚡ Action

This section displays what the Play will do on your behalf.

The actions and customization options vary by Play:

Examples:

  • Send Thank You Promo

    • Sends an email with a unique one-time promo code

    • You can customize the discount amount ($ or %) and redemption window

  • Donation Request Plays

    • Send patrons directly to your donation widget

    • You can configure or edit your donation setup during the flow

Every Action section is tailored to the needs and behavior of that specific Play.


🕒 Schedule

This section shows exactly when the email will be sent.

  • All scheduling is based on your organization’s timezone

  • Different Plays follow different timing rules (weekly, annual triggers, etc.)


✉️ 3. Email

Every Play includes an email template that you can fully customize by clicking Edit.

Just like your other OTS emails, you can modify:

  • Subject line

  • Body content

  • Buttons/Call To Actions

  • Images

  • Promo display (if applicable)

Each email includes special dynamic variables that automatically personalize the message for each patron:

A smart link that sends the patron to the correct page based on the Play

This is a custom smart link that automatically routes the patron to the right spot.

Examples:

  • For Subscription emails → routes to the correct subscription widget

  • For Promo-related emails → applies the promo automatically on click

  • For Donation emails → routes straight to the donation widget

This ensures patrons never need to remember promo codes or navigate multiple menus—everything is seamless.


▶️ Start & Pause

At the bottom of the Details page, you’ll see controls to Start or Pause the Play.

Starting a Play

  • Click Start

  • You’ll see a confirmation notification

  • You’ll be redirected back to the page you came from

  • The Play’s status will switch to Active

Pausing a Play

If you return to an Active Play, you can Pause it at any time.

Pausing:

  • Stops the Play from sending future emails

  • Does not delete or reset your setup

  • Allows you to re-activate later without starting over
