Managing Seating Charts with Venue Management

The new Seating Charts experience makes it easier to create, organize, and manage your organization's seating charts in one place.

Instead of managing a seating chart only within an individual production, seating charts now live in your organization's Venue Management area. From there, you can create new charts, find existing ones, make copies, and select the right chart when setting up a production.

Find Your Seating Charts

Navigate to: Venue Management → Seating Charts

Your Seating Charts library displays the charts available to your organization. Each chart includes helpful information such as:

  • Chart name

  • Venue

  • Seat capacity

  • Number of sections

  • Whether the chart is currently in use by a production

You can search by chart name or filter by venue to quickly find the chart you need.

Create a New Seating Chart

From the Seating Charts library, select the option to create a new seating chart.

This will open the seating chart builder, where you can design and configure your venue. Be sure to give your chart a name before saving it so it's easy to identify when creating future productions.

Once saved, your new chart becomes part of your organization's Seating Charts library and can be selected for productions.

Copy an Existing Seating Chart

Need a similar chart without starting from scratch?

You can copy an existing seating chart. The copy becomes its own independent seating chart, so you can make changes without affecting the original chart or productions currently using it:

This is especially helpful when you need to create a modified version of an existing venue configuration.

Understanding Locked Seating Charts

When a seating chart is already attached to a live production, you'll see that it's locked.

This protects important seating information associated with your productions and ticket sales.

Some cosmetic updates, such as changing a section's name or color, may still be available. However, structural changes that affect the actual seating configuration are restricted while the chart is in use.

Structural changes include things like:

  • Adding or removing seats

  • Changing seat counts

  • Moving seats

  • Adding or removing sections

A seating chart that's currently attached to a production also cannot be deleted.


Important to know! You can always unpublish your site before any tickets have been sold, make any necessary changes to your seating chart, and then republish it.


Select a Seating Chart During Production Setup

When creating a Reserved or Hybrid production, you'll now select your seating chart as part of the Venue Details step.

Open the seating chart selector to browse the charts available in your organization's library. Chart details like the venue and capacity make it easier to confirm you're selecting the correct version.

Choose your chart and confirm your selection to apply it to the production.

Not ready to choose? You can still save a production as a draft without selecting a seating chart.

Add a Seating Chart to an Existing Draft

You can also select a seating chart after the initial production creation process.

From Show Details, edit your Venue Details and select the seating chart you'd like to use.

Once saved, the chart will appear on the production's Seating tab along with its seat map, capacity, and section information. For draft productions, you can change or remove the selected seating chart without going through the live-production chart change process.

Changing the Seating Chart on a Live Production

Changing a seating chart after a production is live requires additional safeguards because the production may already have ticket sales, holds, pricing, and other information associated with individual seats. For eligible users, the Change Chart workflow provides a controlled way to replace the chart while protecting existing ticket sales.

Before the new chart is applied, you'll see a summary of the proposed changes, including:

  • Seats and sections being added or removed

  • Current and new capacity

  • The number of performances affected

  • Any issues that need your attention

The change applies across the production's performances rather than changing the chart for only one performance.

When a Chart Change Can't Be Completed

Some changes will be blocked when applying the new chart could conflict with existing ticket sales. For example, you won't be able to complete the change if the new chart would remove a seat that already has a sold ticket.

The system will identify blocking issues so they can be addressed before the chart is changed.

Warnings Before Changing a Chart

Other situations may generate a warning rather than preventing the change entirely.

You may see a warning when:

  • The new chart removes a seat that's currently on hold.

  • The new chart belongs to a different venue.

  • A section on the new chart doesn't have a matching ticket type.

  • You're changing a Reserved production to a Hybrid configuration without GA pricing already configured.

Review these warnings carefully before confirming your change. For example, if the new chart contains a section without an associated ticket type, seats in that section won't be available for purchase until the appropriate ticket type is configured.

Making Structural Changes to a Chart That's Already in Use on Another Production

Important: If you need to substantially modify a seating chart that's attached to a live production, don't edit the original chart directly.

Instead:

  1. Go to Venue Management → Seating Charts.

  2. Find the seating chart currently being used.

  3. Create a copy of the chart.

  4. Make your structural changes to the copied version.

  5. Save the new chart.

  6. Use the Change Chart workflow to apply the updated version to the production.

This gives you the flexibility to update your venue configuration while protecting existing production and ticketing data.
