Opening or Copying a Seating Chart

Updated over a week ago

Seating charts allow you to design and customize the seat arrangements for your events. Whether you need generalized seating plans or specialized floor plans for reserved seating, On The Stage offers tools to help you meet your requirements.

👟Walk Through

  1. Go to the 'Details' section of your event to locate any misplaced or unlinked seating charts.

  2. At the top of that page, click on the Seating Chart tab to see the list of your seating charts.

  3. Navigate to the event's seating chart by clicking the pencil icon next to the desired chart title. Ensure it is editable (i.e., the event has not been published yet).

To edit the seating chart currently applied to an event, press the pencil icon. NOTE: Seating charts are only editable PRIOR to publishing.

Use the tools in the seating chart editor to adjust seat arrangements, add or remove sections, and customize labels as needed.

Save your changes once satisfied. Always double-check the layout to ensure accuracy before proceeding.

If you want to edit a seating chart not currently applied to the event, click on the name of the chart. It will become the active seating chart and you can now make changes to it.

If you want to have multiple versions of one seating chart, click on the COPY seating chart button on the original seating chart. This will allow you to keep your original seating chart, but still make copies and have different versions.

Modify the newly copied seating chart to reflect alternative layouts or special configurations as required.

🎓 Recap

This article explains how to open or copy an existing seating chart in On The Stage. To edit a chart already applied to an event, click the pencil icon next to it (before publishing). If the chart exists but isn’t applied, simply select its name to make it active and editable. If you want multiple versions—such as different layouts or pricing models—you can click the copy seating chart button to duplicate the original and modify the new copy while preserving the original chart.

🚀 Best Practices for Opening or Copying Seating Charts

  1. 🔍 Edit only before publishing
Ensure changes are made while the chart is unpublished, since edits aren’t permitted post-publishing.

  2. 🗂️ Organize versions clearly
Label copies with meaningful names (e.g. “Black‑Tie Layout” or “2025 Tiered Pricing”) to keep your versions easy to identify.

  3. 🔁 Use copies for experimentation
Test alternate layouts or pricing schemes on a duplicated chart so your original remains intact as a backup.

  4. 📋 Activate the right chart for each event
Before finalizing your show, confirm that the correct seating chart version is applied to the performance.

  5. Document changes for team reference
Keep internal notes or change log entries summarizing edits to each version—helpful for collaborators or future adjustments.
