Navigating to the page

1. On the left side of your On The Stage dashboard, click on Settings.

2. Underneath Settings, click on 'Email Settings'.


3. Here you can customize the appearance of the header and footer of your order confirmation and tickets emails, as well as add custom messages.

4. In the top section of this page, you can customize the header and footer with images and colors. You might want to add your organization's logo, as well as updating the banner with your organization's colors.

Noteworthy: These settings are at the organization level and will apply to emails for all productions. If you do not update these assets, the default On The Stage logo and colors will appear.

5. Click on 'Upload Logo' to import an image for the header and footer

6. In this modal, either drag and drop or click to upload an image. The size of this image must be 176px x 80px, or else the image will fail to upload.

7. Here is an example of the image once it has been uploaded.

8. Click on Remove Logo to remove the image you uploaded and return to the default On The Stage logo.

9. When you remove a logo, a warning message will appear that lets you know the custom logo you've uploaded will be Removed from **all** emails.

10. Click on Remove Header Logo to confirm you want to do this. Click Cancel to exit without any changes being applied.

11. Under Header Background Color, you can set the background color for the header and footer.

12. In the Color field, you can type in the hex code for whatever color you choose.

13. Click on the box to the right of the color field to choose a color from the color selector.

14. Once the color selector opens, you can use your cursor to choose the color you want. At the bottom of the selector, you can toggle between HEX, RGBA, and HSLA formats to type in color codes.

15. Under Text Color, you can choose whether you want the text on your header and footer to be white or black.

16. Click Save at the bottom right of this section to save your changes.


Ticket Confirmation Message 1

17. The next section on this page is Ticket Confirmation Message 1. In this text box, you can set a custom message for each production you sell tickets for. This message will appear in the top section of your emails and can be customized per production. See below for an example of where this appears in the email:

We recommend that this custom message be used to add:

  1. Additional information about the performance

  2. Thank you notes

  3. Link to merch pages, fundraising pages, etc.

  4. Anything else

18. To start creating the custom message, click on the Productions dropdown menu to choose which production for your custom message.

19. Once you select your production, enter a custom message in the text box.

20. On the toolbar, you can bold and italicize text, create a bulleted list, create a numbered list, and add links.

21. Click the Link icon to insert a link into the body of your message.

22. To create a link, add the URL in the field that appears.

Click the checkmark to apply changes, or the red X to cancel without saving changes.

Note: Please ensure you are using a full link (including http:// or https://)

23. When you click on a link within your textbox, you can click on the URL to open a new tab with that page. To edit the URL, click the pencil icon. To unlink this piece of text, click the paperclip.

24. Click Save at the bottom right of this section to save your changes.

25. To add a confirmation message for additional productions, go back to the dropdown menu and choose another production.


Ticket Confirmation Message 2

26. Customers have the opportunity to add a second custom message, which will appear immediately below the “Details of the event” (and before the tickets if they exist). See below for an example of where this appears in the email:

We recommend using this custom message for:

  1. Instructions specifically related to the performance (e.g. parking, where to enter, etc.)

  2. Anything else helpful

27. The process for Ticket Confirmation Message 2 is the same process as Ticket Confirmation Message 1. You can toggle between productions, use the rich text editor toolbar, and save changes.

Sending Test Emails

28. At any point during this process, you can test the appearance of your emails. Click Send Test Email in the top right corner of the page.

29. Once you click the button, a modal will appear prompting you to choose a production and recipient.

30. Click on Productions to select which production's email you would like to see. You will be sent the test email for that production only.

31. In the To field, type in an email address to send the test email.

32. Click on Send Test Email. Click Cancel to exit without sending.
