👟Walkthrough
Promo Details
The first section in the promo code builder is Promo Details where you can label your promo offer and add a description.
Note: The label may be shown to patrons on the Membership and Subscriber page.
Type in a label and description for your promo code. For this guide, we'll be creating a buy one get one promo for tickets.
Promo Codes
In the next section, you will define the promo code(s) patrons will enter at checkout.
You can enter a comma separated list of promo codes (code1, code2, code3), press enter after entering a code to add them on new lines, or create bulk promo codes with a shared prefix.
For this example, we'll use one code, "onefreeticket".
Applies To
In this section you can select what category of ticket or item you wish to apply the promo code to.
Entire Order: all items in the patron’s cart are discounted, whether a ticket, and add-on, or a subscription.
Tickets Only: applies the discount only to tickets within the cart, leaving Add-ons and Subscriptions at list price.
Ticket Types: applies the discount only to the specified ticket type but no other items.
Add-ons Only: applies the discount only to the add-ons in the cart, leaving all other items in the cart at list price.
Subscriptions & Memberships: applies the discount only to Subscriptions and Memberships, but no other item types in the cart.
Note: Promo codes cannot be used for recurring memberships.
For this example, we'll select Tickets Only.
Discount Details
Next, select the amount discounted when the promo code is used. You can set an amount, a percentage, or, for tickets, choose to comp.
To set up the buy one get one for tickets, we'll select Percent Off and set it to 50%.
Members Only
You can select if this promo code will only apply to Members by checking the box in this section.
Limits
In this section, you can add restrictions to your promo code.
Maximum amount off purchase: This amount is the maximum amount off of an order/ticket a promo code will take.
I.E. A promo code is 50% off an entire order with a maximum amount off of $10. If an order is $30, and the 50% off promo code with the limit is applied - the new order total will be $20 (their total would be $15 without this limit).
Minimum order value in cart: The minimum order value is the minimum order value in cart before a promo code can be applied.
I.E. A promo code is 50% off an entire order with a minimum order value of $10. If an order is $5, and a patron tries to apply the code, it will not work (their total would be $2.50 without this limit).
Minimum number of tickets in purchase: The minimum amount of tickets in a patron’s cart that must be present before a promo code can be used.
I.E. A promo code is 50% off an entire order with a minimum number of 2 tickets in a cart. If a patron has a single ticket in their cart, this promo code will not work.
Maximum redemptions overall: The amount of times overall a promo code can be used. If it can be used an unlimited amount of times, this can be left blank.
Max tickets in a transaction: The highest amount of tickets in a patron's cart allowed for this promo
I.E. A promo code is limited to 5 tickets maximum in a transaction. If a patron attempts to checkout with 6 tickets in their cart, the promo code will not work.
For the buy one get one example, we will add a minimum number of tickets of 2 so the patron must have at least 2 tickets for the promo to apply, and a max ticket limit per transaction of 2 so a patron can only get this offer with 2 tickets in their cart.
Redemption Window
In this section, you may set a start and end date for the promo code to be used only within a given time period.
For example, if you want to run a 'Christmas in July' sale, set the availability window from July 1 to July 31.
Production and Performance Selector
In this section, you can limit promo codes to specific Productions, start and end dates, specific days of the week, or hours.
Click on the Select Productions dropdown to choose which production to apply the promo code to.
Check as many as you wish from the list. If you don't wish to apply a promo code to a specific production, you do not have to check these boxes. If you do choose productions - the promo code will only be eligible for any production selected.
You can apply promo codes to Draft productions which will be marked by "(Draft)" in the Productions list.
If you wish to apply a promo code to production dates beginning on a specific date, you can enter a Start date & time. Any performances before the date you choose will not be eligible for this promotion.
If you wish to include an end time for your promo code, enter an End date & time.
Here, we selected March 30. This means that this promo code will only be eligible for performances of selected productions between November 28 and March 30.
To get even more specific with your promo code, you can choose days and hours to apply your promo code to. For instance - if you just want your promo code to apply to weekend evening performances, you can choose those days and hours here.
Click on Select All to choose all days, or use the checkboxes to choose any you wish.
Here, I've selected only Tuesdays.
Note: You may need to scroll in the select list to see all the available options.
Use the hours dropdown to select performance start times. By selecting only 14:00 and 19:00 - this means that only 2:00pm and 7:00pm performances will be eligible for the promo code.
Example: If you have selected Seussical and the Spring Dance Show productions, set the start and end dates/times for your promo code, and configured it to only be available on 2:00pm and 7:00pm performance times on Tuesdays within those given dates, then
This promo code would be ineligible for any performance times outside of these parameters (i.e. an April performance of Seussical, a performance of Seussical on a Wednesday in December, a performance of Seussical on a Tuesday in December at 6pm)
With these selectors, there is a great amount of flexibility with your codes (i.e. You can make a code for all productions on Tuesdays only, you can make a code for 8pm productions, you can make a code for all productions/times that start in December, you can make a code for any production/performance until June 1.)
In combination, Redemption windows and Production/performance selectors can enable producers to give out specific, limited time only promo codes for the specific events you wish to promote.
Ticket Types
If you selected Ticket Types in the Applies To section, you will see a Ticket Types table below the Production and Performance Selection section where you can choose which ticket types are eligible for this promo code.
Click Save at the bottom of the page to save your promo code.
Patron Checkout
Let's see the buy one get one example in action. In the checkout process, there is a "Have a promo code?" input where a patron can type or paste your promo code.
Here, we've added two tickets to the cart and typed in the promo code. Now, we click Apply Promo and can see the cart is discounted 50% or the cost of one ticket.
🚩Common Issues and Troubleshooting Steps
Promo Code Doesn't Work at Checkout
Expired Redemption Window: Ensure the promo code's redemption window is active. Update the start and end dates if expired.
Promo Code Doesn't Apply to an Event
Mismatched Event Dates: Verify that applicable performance or event dates align with the promo code's validity period and update as needed. By addressing these steps, you can resolve the most common promo code issues effectively.
🎭Noteworthy: Promo codes can be edited to adjust settings such as redemption windows and applicable event dates.
For scenarios requiring multiple updates, you can remove and rebuild codes as needed. Additionally, you can upload up to 500 codes using the bulk building feature.
Do not use any symbols in your promo code.
Promo codes are not case sensitive. Patrons can enter the code in any combination of uppercase or lowercase letters, and it will still be recognized by the system (e.g., "DISCOUNT" or "discount" will yield the same result).
