Pre-Show, Post-Show and Revenue Driving Emails

Learn how to customize your pre and post show emails here! If you have upcoming shows, these will now be featured in your post-show email - an automatic revenue booster!

1. Click on Promote on the lefthand side of the OTS dashboard to access the 24 hour pre-show email and post-show email templates.

2. Automatically, the OTS dashboard will schedule these emails and send them to patrons. From this page, you will be able to edit the content of that email, turn off individual emails, and send yourself test emails.


3. Click on the eye icon to send yourself a test email from the dashboard


4. When the Send Test Email modal opens, enter your email address in the To field.


5. Click on Send Test Email to send the test to your inbox.


6. Use the On/Off slider to turn an email on or off. Here, I have turned this email off.


7. To edit the pre-show email or post-show email for a given production, click the pencil icon on the right


8. Now, you are on the Edit Scheduled Email screen. At the top right corner of the screen, you can send yourself a test email to preview how this message will look when it arrives in a patron's inbox.


9. At the top of this screen, there is a list of all of the custom variables you can add to your email.


10. Next, you can edit the Subject line of your email. By default, OTS has populated all of these fields for you. To edit and override the pre-canned text, simply replace the text with anything you prefer and hit Save.


11. Next, you can change the header of your email. The header is the message at the top right corner within the banner. To edit and override the pre-canned text, simply replace the text with anything you prefer and hit Save.


12. Next, you can change the Body Copy of your email. To edit and override the pre-canned message, simply replace the text with anything you prefer and hit Save.

13. Next, you will see the Add-Ons section. By default, 3 add-ons that you have configured will appear within in the 24 hour pre-show email in the order that was set on the Add-Ons Table. To reprioritize or create new add-ons, you can click on this link to make changes.


14. Lastly, you can choose whether or not to Enable or Disable this email. By default, this email will be enabled.


15. This is a sample of the 24 hour pre-show email that will be sent to patrons with tickets to an upcoming performance. If you make no changes to the subject line, header, or body - the message will look like this.


16. This is a sample of the post-show email patrons will receive. This email can also be edited through the same method as the pre-show email. By default, this email will list up to 3 upcoming published productions.


17. On the Performance Metrics tab, you will be able to see the performance of all of your emails as well as scheduled social posts.

For each message, you will see the Date Sent (with a Not Sent pill if the date is upcoming), number of sends, number of opens/impressions, number of likes (if a social post), number of sales attributed to your message, and the cumulative sales total attributed to your message.


18. Click on the eye icon to send yourself a test email or to view a preview of the social post.
