Adding Placeholders to a Document

This article explains how to prepare documents during a session.

During a notarization session, you can add placeholders (tags) directly from the toolbar at the top of the document.

These placeholders are filled either by the signer or by you (the notary).

Available placeholders

For the signer:

Signature

Signer's initials

Checkbox

Text input

For the notary:

"Fill in here" flag

Free text (for names, dates, or notes)

White rectangle (to white out any information you may want to remove)

How to add placeholders

All placeholders are available in the toolbar at the top of the document.

  1. Select the tag you need (e.g., Sign, I.N., checkbox, etc.)

  2. Click anywhere in the document to place it

  3. Adjust size or position if needed.

Assigning fields to the signer

To make a field visible to the signer:

  1. Place the field in the document

  2. Click on the field

  3. Click Assign to Primary Signer

Note: You cannot edit or delete information entered by the signer, and the signer cannot edit your inputs.

Editing placeholders

After placing a tag, you can:

  • Resize or move it

  • Change colors and text size (for text fields)

  • Adjust opacity (for flags)

  • Delete it using the trash icon

Using the “Fill in here” flag

The Fill in here flag helps guide the signer.

  1. Select Fill in here from the toolbar

  2. Place it in the document

  3. Adjust size, position, or opacity if needed


Notary seal and certificate

A valid notarization requires both a notary seal and a certificate.

Attach a certificate

  1. Select the notarization type (Acknowledgment or Jurat) in the right panel

  2. The certificate is applied digitally and is embedded in the document (it does not appear as a separate page)

Loose-leaf certificate

  • You can also add a separate loose-leaf certificate page, but only if templates are uploaded to your profile

  • If needed, you can upload your own certificates in your profile under Notarial Templates.

Placing and defining a notary seal

  1. Select the Notary seal from the toolbar

  2. Click to place it in the document
    Each seal must then be defined individually:

  3. Click on the seal

  4. Select the service type (Acknowledgment, Jurat, Oath, or Copy)

Until this is done:

  • The seal will remain highlighted in red

  • You will see a message prompting you to define all stamps

If you have multiple seals, use Find Stamp at the top to move between any that still need to be defined.

Once defined, the seal will display correctly with a transparent background.

Note: Selecting a certificate in the right panel does not automatically apply it to placed seals — each one must be defined.

Cost of notarization

The cost depends on your plan, the number of notary seals placed in the document, and who pays for the session (notary or signer).

All changes made during the session are recorded in the Audit Trail, which is embedded in the finalized document.
