How the IPEN Process Works — Signer Guide

This article explains what a signer can expect during an In-Person Electronic Notarization (IPEN) session

With In-Person Electronic Notarization (IPEN), signers can get documents notarized electronically while meeting with a notary in person.

The notarization is completed with electronic documents, signatures, and notarial certificates. No paper documents or ink signatures are needed.

1. Select a Notary to work with

To begin, open the document you want to notarize.

Your experience may vary slightly if you have completed an IPEN session before.

First-time signer

  • Enter the email address of the notary

  • Click Find the notary to continue

  • Once a notary is found, click Send notarization

Returning signer

  • Select one of up to two recently used notaries from the list

  • If needed, you can also search for a new notary by email

2. Enter and confirm personal information

First-time signer

  • Enter the required personal and ID information

Returning signer

  • Your previously entered information is automatically pre-filled

In both cases, review and confirm the information before proceeding.

3. Connecting with the notary

Make sure to agree with the notary about meeting in person.

You can review the document while waiting for the notary to begin the session.

At the top of the screen, you will see the notary status:

  • Waiting for the notary

  • Notary is online

Once the notary opens your request from their Notary Journal, you will see the notary status change to “Notary Online”.

Do not sign a document before you meet the notary in person.

If the notary is unavailable or you prefer to work with a different notary, click Find another notary at the top of the screen.

You can then:

  • Search for a notary by email, or

  • Select one from your recent notaries list.

4. Signing the document

When the notary enables signing, please apply your electronic signature.

You can choose to:

  • Draw a signature

  • Type a signature

  • Upload a signature image

All signing takes place under the notary’s supervision, while you are physically together.

5. Session completion

After all required signatures and notarial steps are completed:

  • The session is finalized by the notary

  • The session status changes to Completed

  • The notarized document becomes available

You will see a confirmation screen. Your document has been successfully notarized.
