IPEN Notary Onboarding Guide (Integrated Clients)

This guide walks you through the full onboarding process for notaries who want to perform IPEN (In-Person Electronic Notarization) on OneNotary

What is IPEN?

With IPEN, commissioned notaries meet signers face to face in order to complete electronic documents on their laptops or tablets.

Once your profile is set up, you’ll be able to accept IPEN assignments from your clients.

Step 1: Create your notary account

1. Please check your inbox for a Notary Registration email from OneNotary

with the blue “Get started” button.

Note: In some cases, your organization may provide a custom registration link instead. Both options lead to the same notary sign-up process.

2. Follow the link and proceed with creating your notary account.

3. Enter your notary information, agree to the Terms of Service, and click Sign Up.

Step 2: Add Your Personal & Commission Details

Personal Information

  • Upload your profile photo. Use a clean, professional photo since clients will see it before sessions.

  • Verify that your name matches your notary commission.

  • Enter your phone number.

Commission Information

  • Enter:

    • State of commission

    • Commission number (if applicable)

    • Commission expiration date

  • Once complete, click Next.

Review Your Notary Profile Information

Check the summary of your commission details. Choose:

  • Confirm and Proceed — if everything is correct
or

  • Edit Commission Details — if you need to make changes


This step ensures legal compliance and prevents mistakes in your digital certificate.

Step 3: Complete Identity Verification

As part of onboarding, you’ll be asked to complete identity verification, which is required by state law.

This process includes confirming your personal information and verifying your government-issued photo ID. The platform will guide you through each step automatically.

Step 4: Add Your Digital Credentials

Digital Certificate

A digital certificate is used to securely sign and protect notarized documents.

Depending on your state, you will see one of the following options:

  • Generate New Certificate, or

  • Upload Your Own.

eNotary Stamp

An eNotary stamp is a digital version of your official notary stamp and includes the information required by your state (such as your name, commission number, and expiration date).

As with certificates, your options depend on your state:

  • Generate a New eNotary Stamp, or

  • Upload Your Own

If your state supports eNotary stamp generation, you’ll see an option to generate a new eNotary stamp.

When this option is selected, a preview of the generated stamp is shown. You can either Confirm and Proceed or choose Replace with My Own to upload a different stamp.

Status Confirmation

If you already have a RON commission, you can add it here. If not, select Not Yet.

Your profile will be activated as IPEN, enabling you to perform in-person electronic notarizations, if allowed by your state.

Later, if you obtain a RON commission, you can upgrade your authorization by going back to your notary profile. You will not be required to repeat the onboarding material you have completed.
