Adding manual data

Add manual data to metrics in your OneUp

One of the benefits when using OneUp is that you're not restricted by the type of data you can add to the system - you can technically add anything you like!

We very commonly have clients who manually add their Contract Revenue after it has been invoiced so they know it's accurate. We also have clients who track their Christmas Bonus Scheme, LinkedIn activity, and even their gym sessions through OneUp's manual data entry!

To get started, click the More menu at the top right of the OneUp site, and you will see two options for manual input - Report Activity and Upload Spreadsheet.

Report Activity

The Report Activity option is useful for adding occasional updates to certain metrics for individual users. On this page, you can only add one record of manual data at a time.

To report individual activity for a user:

  1. Head to the Report Activity page by clicking the More menu at the top right of OneUp and finding it in the list of options.

  2. On the new page, make sure you've selected the correct user from the drop down menu in the top right of the screen.

  3. Next to the user, select the date you'd like the activity to appear against. This is the date and time it will appear on when you choose a time period to report on in Dashboards, Reports, Slideshows and Competitions. By default, this is set to today's date, and the time will conform to your current system time-zone.

  4. If the metric you want is not already visible in the list in the middle of the page, underneath the user and date selection, choose the metric you want to add activity for from the dropdown menu.

  5. Now you can input the figure you'd like to manually add to the system. For example, if you're wanting to add 3 CVs sent, enter 3 in the field next to the CVs Sent metric. You can also 'remove' data by using a negative number as the value!

  6. Click the Submit Report button at the bottom of the page.

  7. Your data will now appear on the platform just the same as if it were added from your CRM.

Spreadsheet Upload

The Upload Spreadsheet option is useful for adding a bulk of data at the same time to multiple metrics and for multiple users. This is best used for a weekly export of data (for example, uploading your actuals to OneUp).

  1. Select Upload Spreadsheet from the menu at the top right of OneUp.

  2. Click the Download Spreadsheet button from the page that opens. This downloads a pre-populated spreadsheet containing all of your metrics and users.

  3. Click Next at the bottom right of the screen.

  4. On the next page, select the date you'd like your uploaded data to appear on.


    ⚠️ This will attribute all data in your uploaded spreadsheet to the date you set here. If you have data spread out over a large period and wish to organise the data better, you could separate daily or weekly bulks of data and upload a spreadsheet for each.


  5. Open the spreadsheet you downloaded and add the values for the relevant data.


    ⚠️ It's important that you don't reorder or delete any columns you're not uploading data for. If you're not uploading data for that metric, just leave the column blank - the system will ignore it.


  6. Once you're finished with the spreadsheet, save it, and on the OneUp page, press Next.

  7. In the next step, you're prompted to browse your PC for a file. Press the Choose File button and navigate to where you saved your spreadsheet.

  8. Press Upload.

  9. Done! Your data is now saved to the system and will appear on the platform just the same as if it were added from your CRM system.

Tips πŸ’‘

  • When uploading manual data to a currency-type metric, it's important to enter the value completely unformatted - in other words, with no currency symbol against it. OneUp also only accepts currency in English decimal format (e.g. 10000.00, not 10000,00).

  • When uploading manual data to a currency-type metric, OneUp will consider the value of the data in the currency set on your user profile. If this is unset, it will use the company default currency. More information on choosing your OneUp platform currency can be found here.

  • If you want to manually upload duration data to the platform using Report Activity, or Spreadsheet Upload, add the duration you want to log against the user in seconds.

Troubleshooting ✨

My manual data was uploaded, but isn't appearing on the platform

If you can't see your manually uploaded data, check the following:

  • Use our Data Management page to look for your manual entry. If you can find it on this page, verify the metric it's been uploaded to, the user, and the time it's been logged against.

  • If you have found it here, load up a dashboard or report for the same metric and time period. It should be there! If not, contact support and we'll be happy to help.

A user I want to add manual data to isn't appearing in the list

  • Deleted and observer users cannot have manual data added against them. You'll need to reinstate the deleted user, or convert the account to a full-license version to upload manual data to it. Info on how to do this can be found here.

  • If your user is not an observer or deleted from the platform, contact our support team and we'll investigate for you.

OneUp has given me an error when I tried to upload my spreadsheet containing manual data

If your manual data upload wasn't successful, you should see an error message explaining what the problem was. If this error isn't clear, here are some steps to try:

  • Ensure the saved version of the template is and Excel file (.xlsx). OneUp can't accept other spreadsheet formats such as .numbers, or .csv.

  • Ensure the spreadsheet hasn't auto-converted any cells to other formats on save, such as dates or formatted currencies (e.g $5,200.00).

  • Check the list of users hasn't changed or been altered compared to the template version you've used. If you have an old version of the template stored for easy access, you may need to get the latest version from OneUp (on the first steps of the spreadsheet upload page) if your business has added or removed any users from the platform.

  • Make sure the columns containing metrics have not been moved, or deleted from the template. If you don't need to use a column in the manual upload template, leave it blank and OneUp will ignore it.
