Much like the update to the Task Pipeline page, the Trigger Pipeline page has moved to a Kanban view. This makes it easier for you to quickly move through your triggers which gives you more time in your day to do the things that matter most. Let’s go over what the Kanban view looks like.

When you first go to the Trigger Pipeline page, you will see the triggers in columns according to when they are due, up to seven days. If you have any in the Immediately column, it means they are scheduled to go out immediately rather than on a specific date.

The next column is for any trigger that is past due. These triggers have a date and time on them that didn’t get met so now they are past due. You can inspect the trigger to see what the function is (email, text, template) and either edit it or send it.

Image shows an arrow pointing to the column title with a number to the right of it. It shows the next column collapsed. At the bottom of the trigger card, it shows Edit | Inspect | Send. An arrow is pointed at Inspect.

After that, you have triggers that are due Today, Tomorrow, or after; up to seven days (In 2 Days, In 3 Days, In 4 Days, In 5 Days, In 6 Days, and In 7 Days). This lets you see what you have on your roadmap for the week so you can make any changes to the triggers.

Image shows the Today and Tomorrow columns expanded with the In 2 Days column collapsed on the right side.

You can collapse any column by clicking on the title of the trigger column. This helps clear up the board so you can see what you are currently working on.

Image shows an expanded Tomorrow column with In 2 Days - In 7 Days collapsed to the right.

To refresh your triggers in a specific column, click on the circular arrows. This helps if you've made a number of changes to those triggers and need them refreshed.

You can use the three dots in the upper right corner to do any of the following actions.

  • Select All

  • Select None

  • Sort By Date - Ascending (only on the Past Due column)

  • Sort by Date - Descending (only on the Past Due column)

  • Sort By Address A - Z

  • Sort By Address Z - A

Image shows an arrow pointing to the circular arrows which is to the left of the three dots in the upper right corner of the column. On the right side of the image, an arrow points to the three dots which has a list of options. Select All, Select None, Sort By Address A - Z, Sort By Address Z - A are the options, from top to bottom.

If you do need to change the time the trigger is due, you can grab the trigger card and drag it to a new column, or click on Snooze.

Since the Kanban view is only up to seven days, you will need to click on the Send Date & Time if you need to adjust it past the seven day time frame.

Image shows an arrow on the left side pointing to the Snooze option which is directly above the trash can in the lower right corner of the trigger card. The right side trigger card shows an arrow pointing at the Send Date & Time which is directly above the Contingency option.

You can also use the Select Trigger option to open up your mass actions. These include Set Due, Schedule, Deactivate, and Delete.

Image shows an arrow pointing at the Select Trigger option which is above the Edit | Inspect | Send options. This opens five buttons at the bottom of the screen; Set Due, Schedule, Deactivate, Delete, X.

Looking at the left side, you’ll see options to filter down the list of triggers you have so you can save them into a Snapshot. The options for this can be the Address, Search Phrase, Trigger with Error(s), Conditions Not Met, User, Team, Property Client Type, Property Status, or by Tags.

To learn more about Snapshots, follow this article: How To Create Trigger Snapshots.

Image shows the far left side of the Trigger Pipeline page. From top to bottom, Snapshots, Address, Search Phrase, Trigger with Error(s), Conditions Not Met (show triggers where conditions have not yet been met) -> Filter Triggers, User -> Choose, Team -> Choose, Property Client Type -> Choose, Property Status -> Choose, Filters (tags).

Trigger Display Options

You can also use the funnel icon to change what you see on the trigger card. This includes Priority & Trigger Buttons, Property Options, Trigger Attributes, Assigned To, and Trigger Conditions.

Image shows an arrow pointing to the funnel icon to the left of the Immediately column. This opens the Trigger Display Options which include, from top to bottom, Priority & Trigger Buttons, Property Options, Trigger Attributes, Assigned To, Trigger Conditions.

Important:

Depending on your subscription with Open To Close, some of these options may not be available to you. To check out what's included in your subscription, please visit our pricing page.

Below is a brief description of each Trigger Display Option. If you want a more detailed view of these options, follow along with this article: Understanding the Trigger Card Details on the Trigger Pipeline.

Priority & Trigger Buttons

This will show what priority the trigger has as far as when it is due. When Due is highlighted red, it means that you have past due and due today triggers.

Image shows that the box to the left of the Priority & Trigger Buttons is checked with an arrow pointing to the trigger card's priority choices. These are directly below the property address.

Property Options

When you use this filter, it will show you all of the different options you can view for that specific property. These are your options: Property Emails, Details, Field Search, Contacts, Documents, Notes, One-Sheets, Texts, and Triggers.

Image shows the box to the left of Property Options checked with an arrow pointing to the options. They are either below the Priority & Trigger Buttons (if that is being displayed) or under the property address.

To the right of the options are the Property Options which opens up even more choices for the property. You will find Default Settings, Manage Fields, APIs, and Utilities specific to that property.

Trigger Attributes

This will display what team the trigger card belongs to and if there are any tags on the card.

Image shows a checked box to the left of Trigger Attributes with an arrow pointing to the Details, Team, and Tags. These are below the property address in the image but can be below either of the other two options listed before Trigger Attributes.

Assigned To

If anyone is assigned to a trigger card, it will show up here. You can also add new contact roles to the card to include more users as long as they are a part of the contact role(s) you have selected.

Image shows a checked box to the left of Assigned To with an arrow pointing to the plus symbol. This is directly below the property address but can be below any of the other display options listed previously.

Trigger Conditions

This will show you if there are any conditions for the trigger. If the trigger has one, it will appear in red text if the condition has not been met. You can click on this to see what the condition is.

Image shows a checked box to the left of Trigger Conditions with an arrow pointing to the padlock on the trigger card. To the right of the padlock is the number of conditions on the card and to the far right is the type of trigger card it is.

Here are a couple of other things to note about conditions:

  1. If the conditions on the trigger have been met, it will be queued according to the date of the trigger. When there is a parent and child condition on the trigger, as long as the parent condition is met, the child condition doesn’t have to be met for it to be queued up.

  2. You can see a list of all triggers with conditions that have not been met by clicking on the Filter Triggers option under Conditions Not Met.
