Task Pipeline

Manage your daily activities, assigned by color, tag, user, and task triggers. You can create “snapshots” to save your filter views.

Creating a Snapshot

You can easily create accessible snapshots that have presets and filters already set.

  1. From the Task Pipeline, click Snapshots and choose to Create Snapshot.

  2. Enter the snapshot title and hit Submit.

  3. After creating your snapshot, you can apply some filters just like in the property and contact table.

Kanban Style Pipeline

The Kanban layout will help you and your team see what’s in progress. It allows the cards to be easily moved to follow task progress, making them easy to understand and navigate.

It consists of 10 columns: Past Due, Today, Tomorrow, In 2 Days, In 3 Days, In 4 Days, In 5 Days, In 6 days, In 7 Days, and Unscheduled. Each column is collapsible and you can open the ones that you only want to see for that time or to have a condensed view by clicking the display settings.

The Kanban layout loads faster, you can see multi-day views, easily modify task due dates, send emails from tasks, edit properties from the task, and have more options to choose from.

Filter Tasks

User filter options to modify the tasks that are displayed in each column.

Address

Enter the address in the search bar and click the address link button to see all the tasks assigned to the property address.

Property History

Jump between tasks by selecting from your address history.

Search Phrase

Phrase searching narrows your search results by containing an exact sentence or keywords such as Closing, Final Walkthrough, Appraisal, Inspection, etc.

User

Show tasks only assigned to a specific user (across all properties and team roles).

Team and Team Members

If you want to assign a task to your team member, please ensure that you will assign a role to the user in the organization.

  1. From the Task Pipeline, choose the team's name to see all the tasks currently assigned.

  2. After choosing the team, choose the team member’s name from the dropdown to see all the tasks assigned to that person.

Property Client Type and Property Status

  • Property Client Type - show tasks in properties that have a specific client type (e.g. Buyer, Seller, etc.)

  • Property Status - show tasks in properties that have a specific status (e.g. Pending, contingent, closed, etc.)

Options

  • Color Coding - choose the color to see all the tasks assigned.

  • Tag - choose one or more tags to see all the tasks assigned to them.

  • Critical - choose the critical icon to see all the tasks assigned.

  • Pin - tasks that are currently pinned.

Task Triggers

When you close a task that has a trigger(s), they will either be added to the "Due" (red button) or "Failed" (gray button) triggers.

Important:

Both due and failed task triggers can be filtered by property and are only available for the Premium add-on users.

Task Display Options

In Kanban view, you can choose how to format your task view and which items to display. The task display options will be applied to each snapshot depending on your customization.

Click the filter icon to add or remove the options that are visible on the tasks. For example, you can toggle the visibility of the address, task attributes, assigned to, property options, etc.

View Card (Column)

The Kanban view card could provide two things; one that provides the overview of the task and the other is to expand the view, which shows the tasks in full detail (e.g. address, priorities, trigger buttons, assigned user, etc.)

Sort/ Set Task Options, Refresh Tasks, and Add Tasks

  • Sort and Set Task Options - the individual column can be sorted by clicking the three dots, you can choose to sort each column by different characteristics. These options include Sort by Date, Sort by Address, and Group by Color. You can also set the date, color, or delete for each column by choosing Select All (or per task).

  • Refresh Tasks - clicking the 🔄 button will refresh the tasks per column.

  • Add Tasks - click the ➕ sign to add a task.

Task Title

The task title can be edited from the view column and clicking the task title will open the task settings.

Expand/ Collapse Button for the Task Attributes

There are two ways to hide or show the task attributes.

  • Task Display Options - tick the box to expand the task attributes to all properties.

  • Expand/ Collapse Button - the task attributes can collapse or expand individually and can be found inside the view card.

Snooze Tasks

Snooze a task until you complete it. If you have a task you need to get done and want to make sure you get reminded until it’s finished, try setting it up as a recurring task that repeats daily, three days after, by using the date picker, etc.

Send Task Emails

Easily send emails from within a task (emails will also be logged to the task too).

Task Attributes, Priority & Trigger Options, and Assigned To

  1. Task Attributes - it's a process of task execution.

    • Task Triggers

    • Assigned To button link

    • Tags

    • Recurring

    • Task Date (Conditional Date Calculation)

    • Internal Details

    • Critical

    • Pin

    • Set Parent (Child) Task

    • It also includes the contingency description

    • Assigned Team

    • Tag Categories (optional)

    • Follow Up Boss Task (optional)

  2. Priority & Trigger Options

    • It's for the tasks that are past due, due in one or two days

    • The number of task notes will appear and can be tagged as HIGH, MED, or LOW in color, and you can tick the exclude button.

    • The Task Triggers will show the number of triggers applied to the task.

  3. Assigned To will show the user's initial who is currently assigned to the task.

Property Options

This feature allows you to manage your properties from the task pipeline and edit all property details such as contacts, documents, one-sheets, info, etc.
