Welcome to the Data Request Dashboard, a.k.a. your new best friend! From here, you can see all of the different types of data requests as they are submitted. So, what is a data request?

Data requests happen every time information gets updated through the agent portal, client portal, or mobile app. That's a lot of information to manage daily, but now you can go to one place in Open To Close to quickly see all of this.

The first thing you will need to do is find the Data Request Dashboard. It's the fifth icon from the top of your navigation menu on the left side of your page, represented by the cube icon.

Here, you can create a new Snapshot, change the status of the data requests you are reviewing, filter by Priority, or add/remove the data request columns. For now, let's dive into each data request option to see how it can help streamline your day.

Property Value Changes

Anytime a user or agent changes a value on a property, whether that's through their portal or the mobile app, you will be notified under the Property Value Changes column.

To see this data, you will first need to add the Property Value Changes column to your Data Request Dashboard. All you need to do is click on the name under the Available Columns section, and it will be added to the right side. Click on the name again to remove it. For now, leave it on the right side.

Once a property value has been submitted, you will see a card under the Property Value Changes column. In the image below, each section has been divided into three parts so let's dive into each one.

Section 1 (Submitted Information):

This section will show all of the information that has been submitted. Each one will look a little different because there are different types of fields. Some may show dates, while others only show the value that was changed.

You may also see a reason as to why the change is being requested if the person submitting the change entered this information.

Section 2 (Submission Details):

This will always show the address that the change is related to so you can quickly go to that property. You can also see the platform it was submitted on, who submitted it, and when it was submitted.

Section 3 (Action Items):

  • Edit - If you know the change request value is incorrect, click Edit to update it to the correct information.

  • Approve - Once you have reviewed the information and found it is accurate, click on Approve so the changes go into effect.

  • Reject - If the value is incorrect and you don't want to edit it, click Reject.

    • Anytime you need to see your rejected change requests, switch the Status from New & Unread to Rejected.

  • Priority - When a value comes in that you don't want to forget about, click on the P to set the Priority for that value change. It can be High, Med, or Low and will show on the Priority/Health Bar as an item that needs attention.

  • Property Options - This will show several options for the property so you don't have to leave the Data Request Dashboard. Instead, it will open a panel for you to complete the given action.

    • Here's what you can choose from: Priority/Health Bar, Details, Property Field Form, Defaults & Settings, Timeline, Manage Fields, Search Fields, APIs (LiveEasy, Follow Up Boss, SkySlope, Dotloop, Brokermint, Agent API Keys), and Utilities (Process Payment, Activity, Access).

Secondary Intake Form Submissions

You can use Secondary Intake Forms for just about anything when it comes to transaction updates. This might be a form submitted when a listing goes under contract, and you want to duplicate the property.

It could also be a lot of smaller forms to update the property whenever something was missed or changed, such as a well, septic, HOA, financing, etc. The list goes on and on.

Make sure you have the Secondary Intake Form Submissions column added to the right side so you can view the submission cards.

Section 1 (Submission Details):

This shows all of the details about the submitted Secondary Intake Form. You can click on the Parent Property address to go to the property itself.

Review the details to see who submitted the form, the Team they are on, and the Team User it's assigned to. You will also see the Assigned Agent, Contract Status, and Date Created.

Section 2 (Action Items):

  • Process - This takes you to the property and automatically opens the option to duplicate the property and approve the Secondary Intake Form. You can also click on Compare to Parent Property to see what changed before approving the form.

  • Reject - If you don't want to approve the Secondary Intake Form, you can click on Reject to dismiss the form.

    • Anytime you need to see your rejected Secondary Intake Forms, change the Status from New & Unread to Rejected.

  • Priority - When a value comes in that you don't want to forget about, click on the P to set the Priority for that value change. It can be High, Med, or Low and will show on the Priority/Health Bar as an item that needs attention.

  • Property Options - This will show several options for the property so you don't have to leave the Data Request Dashboard. Instead, it will open a panel for you to complete the given action.
