Online Ticket Management (OTM) Quick Start Guide

Welcome to Online Ticket Management (OTM)! This comprehensive guide will help you get started with OTM and understand all its features.

What is OTM?

Online Ticket Management (OTM) is an optional item redemption and merchandise pickup module for OSMS (Online School Management System). OTM works as an add-on to existing OSMS components and cannot be used independently.

Key Requirements

  • Cannot be used standalone - OTM requires either Online School Payments (OSP) or Online Teacher Receipting (OTR)

  • OSP familiarity required - Bookkeepers must know how to create products, generate sales reports, and process refunds in OSP

  • Compatible systems: OSP store plus app and OTR in-person cashier screen

System Components

Required Components

  • OSMS Management Portal - Primary workspace for all school staff operations

  • Barcode Scanner - Optional hardware that works with all makes and models via plug-and-play

Getting Started

Step 1: Login to Management Portal

  1. Navigate to your site or visit osmsinc.com/login

  2. Enter your Username and Password

    • Find credentials in your email or go to Management Portal → Home → Forgot Username and/or Password

  3. Select your school

Step 2: Product Setup

To create products for OTM, follow these steps:

  1. Standard Setup: Go to Transactions → OSP Products → Edit/Add New → Required Fields tab

  2. Enable OTM: Navigate to Additional Options tab → Additional Options section → Select "Ticketed Item" → Save

Step 3: Complete the OTM Workflow

  1. Create products and flag them for OTM use

  2. Process payments via OSP & OTR

    • OSP Store → Receipt → Print All

  3. Redeem items during events

    • Scan barcode OR mark redeemed manually via Ticket #

  4. Generate reports as needed

Ticket Redemption Process

For Purchasers

Method 1: Via Email

  1. Open the receipt in your email inbox

  2. Click either "Redeem" or "Click here to display your tickets to be redeemed" buttons

  3. The OSP Store's Ticket Redemption page will display

  4. Click the "Redeem" button

Method 2: Via OSP Store

  1. Go to your OSP Store

  2. Login to Parent user account (person icon in top right corner)

  3. Navigate to Order History

  4. Select the specific Order

  5. Click "Click here to redeem your tickets" button

  6. Click the "Redeem" button on the Ticket Redemption page

For Staff Members

Standard Redemption Process

  1. Login to Management Portal

  2. Go to Transactions → Ticket Redemption

  3. In the "Select Redeemable Items" box (left side), select your item(s)

  4. Click "Insert" - items should appear in "Items Selected As Redeemable" box (right side)

  5. Either scan the barcode OR enter the Order Number

  6. Click "Redeem"

  7. System will confirm successful redemption or show failure message

If Order Number is Unknown

  1. Go to "Search By" options

  2. Choose: Order #, Student Last Name, or Purchaser's Last Name

  3. Enter your search query

  4. Click the Magnifying Glass to search

Important Limitations

Reversing Redemptions

  • No void functionality available - OTM does not currently offer the ability to "un-redeem" tickets

  • Plan redemptions carefully as they cannot be reversed

Reporting

OTM-Specific Reports

To access ticket redemption reports:

  1. Go to Reports → Additional Reports → Inventory and Ticket Reports

  2. Select "Tickets Redeemed Report"
