Getting started with Edlio Accounting

Edlio Accounting works like checkbook-style accounting for your school's activity funds. Six core areas cover the work you will do:

  • Receipts: Money in

  • Disbursements: Money out

  • Transfers: Move between funds

  • Reconciliation: Match to the bank

  • Reports: See the results

Receipts

Record payments and assign them to the right fund.

  1. Go to Receipts and select New Receipt. Add the payer and payment method.

  2. Enter the amount and allocate it to one or more funds.

  3. Post and print the receipt or receipts, then group them into a Deposit for the bank.

Tip: You can split one payment across funds. Posted receipts remain Undeposited until you include them in a deposit.

Disbursements

Pay vendors, refund parents, and reimburse staff.

  1. Go to Disbursements and select New Invoice. Select or add the vendor.

  2. Enter the amount, allocate it to the paying fund or funds, and post the invoice.

  3. Select New Payment > Pay Invoices, prepare the batch, then select Print Checks.

Tip: Confirming that checks printed correctly automatically posts them. You can void or reissue posted checks.

Transfers

Reallocate money between funds or bank accounts.

  1. Go to Transfers and select Bank to Bank or Fund to Fund.

  2. Choose the from and to accounts or funds, then enter the date and reason.

  3. Enter the amount and select Post Transfer.

Tip: Use transfers to fix a misallocation or clear a negative balance. Fund transfers do not affect reconciliation.

Reconciliation

Reconciliation is the monthly check that your records agree with the bank statement.

  1. Enter the bank statement balance for the period.

  2. Post any bank adjustments, such as interest, charges, or NSF items.

  3. Check off cleared items. When the difference is zero, select Complete.

Tip: Select Save for Later to pause. In-transit items roll forward automatically to the next month.

Reports

View data in the format each stakeholder needs.

  1. Select the correct fiscal year first.

  2. Run a Fund Balance report from Financial, or choose a Transaction or Compliance report.

  3. Confirm that the Asset total matches the Activity total.

Tip: The Fund Balance Report is the required monthly report to submit with Reconciliation.

Chart of Accounts

Districts set main accounts; schools add their own subaccounts.

  1. Go to Settings > Fund Accounts and select + New Fund.

  2. Enter the Fund Name and an optional description.

  3. Choose the Main account and desired subaccount, then select Save.

Tip: Subaccount balances roll up into the main account. Reports can show either level.

How it all connects

Every Receipt and Disbursement is tied to a fund and a bank account. Funds organize money by purpose; bank accounts track cash held at your institution. During Reconciliation, you match fund totals against the bank, like balancing a checkbook. The Dashboard shows cash balance, pending approvals, undeposited receipts, and outstanding checks at a glance.
