Overview of Payment Chargebacks
A chargeback occurs when a cardholder contacts their credit card issuing bank to dispute a charge rather than contacting the school directly for a refund. Understanding how disputes are handled in Edlio Payments (OSP) helps schools protect revenue and successfully contest illegitimate claims.
đĄ Best-Practice Adoption Tip: Most school chargebacks stem from "Friendly Fraud"âa parent does not recognize the merchant billing name on their bank statement. Ensure your school's official store descriptor clearly includes your school or district name (e.g., APOLLO MS PAYMENTS), and advise parents on receipts how the charge will appear.
The Chargeback Lifecycle
When a dispute is lodged by a cardholder:
Notification: The Edlio Finance and Client Success team receives immediate electronic notice from the card network (Visa, Mastercard, Discover, Amex).
School Notification: Edlio alerts the school bookkeeper with details of the disputed transaction, student ID, and purchaser name.
Evidence Gathering (7â10 Day Window): The school compiles proof of purchase and fulfillment (e.g., signed receipt, event attendance roster, digital signature form field, or merchandise distribution log).
Representment: Edlio submits the evidence package to the issuing bank on the school's behalf.
Resolution: The bank makes a final determination within 30â60 days. If found in the school's favor, the disputed funds are credited back to the school's settlement account.
Proactive Prevention Best Practices
Enforce Terms & Conditions: Use the Additional Fields tab on items to make school refund rules explicit and required before checkout.
Prompt Refund Processing: Process legitimate refund requests immediately via Transactions > Refund Transactions before a frustrated parent calls their bank.
Clear Confirmation Receipts: Ensure purchasers receive automatic email confirmations by keeping store contact details updated.
