Requesting School, Location, and Account Changes in Edlio Pay (OSP)

How to request a new school or department, rename or close a school, add a store or bank account, or change fee settings, and what information to send so Edlio Pay support can make the change quickly.

Who this is for: district finance staff, bookkeepers, and administrators using Edlio Pay (OSP).

Some changes to your district's Edlio Pay setup can only be made by Edlio Pay support. This article lists those changes and what to include in your request, so support doesn't have to come back to you with questions.

Before you send a request: include your district name and your store link (for example, osp.osmsinc.com/yourdistrict) in every request. Send bank details only through the forms described below.

Changes you can make yourself

  • Products, prices, dates, and categories. See Product Setup in Edlio Pay (OSP).

  • Fund accounts: Setup > Fund Account. Edit or delete entries there if a fund account field on a product won't let you change it.

  • Students and obligations. See Obligations.

Changes Edlio Pay support makes

Add a new school, department, or location

Send the New School/Location Form, or include:

  • The name of the school, department, or site as it should appear in the store

  • The main bookkeeper's name and email address. Each location has one bookkeeper as its main contact.

  • Bank details for deposits: bank name, 9-digit routing number, and account number (keep any leading zeros). If the location will share an existing bank account, say which one.

  • Tax ID (EIN) and school classification (for example, public district school or charter)

  • Whether the store should be public or available only through your student/parent portal

Location names must be unique. Several locations can share one bank account and still get separate deposits.

After the location is set up, the bookkeeper needs training before taking payments. Your district finance lead or Edlio contact can arrange it. To add more staff users, see Staff User Accounts and Roles.

Rename a school or location

Send the school's exact current name as it appears in the store and the new name. If you're replacing a closed school that used the same location ID, ask support to rename the existing location rather than add a new one. The history stays with the location.

If your district sends deposits to an accounting system through an integration (for example, EPES), say so in your request. Support will check that the rename is reflected there too.

Close or hide a school

Schools aren't deleted. Support hides a closed school from the store, so parents no longer see it. Staff assigned to that school can still run reports and look up its past transactions.

Add a second store or bank account for a school

Each store location normally deposits to one bank account. If a school needs a separate store with its own account (for example, a club activities store), send the new store name, the bank details, and which staff should have access. Support will tell you whether it's available for your setup. If your district uses an accounting integration, additional sites may need to be purchased.

Change a school's bank account

Send the signed ACH Update Form and a voided check. For details, see Deposits, Statements, and Bank Account Changes.

Change who pays the processing fee

Support can switch a school between the school paying the fee and parents paying it. Send the school name and the change you want. Support will confirm with you before making it.

Change a store tab or category name on the parent page

For example, rename a "Pep Students" tab to "Pep / Extracurricular," or move a school from Elementary to Combination. Send the current name and the new name or category.

Turn on optional features

Some features are turned on for your district by support. These include Obligations, Guest Checkout for items marked No Student ID Required, and some Additional Options that appear greyed out on a product. Send the feature you want and which schools it applies to.

Email the Edlio Pay help desk at helpdesk@osmsinc.com, or submit a ticket from the chat in your Edlio Pay portal. Requests with all the information listed above are usually completed fastest.
