In order to clearly communicate the status of a team event, Full Admins, Schedulers, and Commissioners with permissions to the Schedules product can now set statuses for games, training events, and basic (custom) events. Events can be set as active, postponed, or canceled, so all team members are aware of any changes that may occur to an event during the season. Additionally, team staff members can change the event status for basic (custom) team events.
System calendars (master calendar, season calendar, location calendar, and team calendars) will display the status of the events. When an event status is modified, the calendars will display the new status for admins and team members to view. Mobile app users can view an event’s status on the event previews and in the Info tab of the event. Updating any event’s status will send a push notification to related team members.
Event Statuses for Game or Trainings
1. From the navigation, select Programs > choose your program and season > Schedules.
2. When manually adding or editing any game or training under the Game Schedules and Training Schedules reports, a new optional drop-down labeled “Status” displays options for Active, Postponed, and Canceled.
Note: Active is the default status when creating any new event.
Adding a New Game
Modifying a Training Event
3. Upon saving an event with a status of Active or Postponed, conflict criteria will be run to ensure overlapping events will not be scheduled.
4. If changing a game or training to Canceled, the event will be removed from calendar views but will still be viewable on the Game Schedules or Training Schedules reports.
5. Updating any event’s status triggers a push notification to be sent to related team members via the mobile app.
When viewing the Game Schedules or Training Schedules report, a Status column has been added, which displays the current status of each event.
Note: If a game is updated to “Postponed” or “Canceled”, the existing process should continue to be followed as managed via the “Update status of any Accepted or Invited Roles when Game changes” seasonal settings under Referees > Settings.
Event Statuses for Basic (Custom) Events
1. Navigate to your Team Page and select Calendar.
2. When adding or editing any basic events, an optional drop-down labeled “Status” displays options for Active, Postponed, and Canceled.
Note: Active is the default status when creating any new event.
3. If a basic event is changed to Postponed or Canceled, the event will display on calendar views in red blocks.
4. Updating any event’s status triggers a push notification to be sent to related team members via the mobile app.
Game and training statuses are not editable via the Calendar on the Team Page and should be managed via Schedules.
Note: At this time, team staff can update basic event statuses but not system-generated games and trainings.
Event Status Actions when Opening/Closing Locations & Surfaces
When managing locations and marking a surface as ‘Closed,’ the system will check for any upcoming games or trainings within the closure window that are currently marked as ‘Active.’ It will then automatically update the status of games to ‘Postponed’ and trainings to ‘Canceled.’
When managing locations and marking a surface as ‘Open,’ the system will check for any upcoming games with a status of ‘Postponed’ or trainings marked as ‘Canceled’ and automatically update those events back to ‘Active.’
Viewing Events on System Calendars
The Master, Season, and Location Calendar views will continue to display active games in sky blue blocks, active trainings in orange blocks, and postponed events (both games and trainings) in red blocks. These events are no longer based on current surface closure status values. Canceled games or trainings are not displayed on calendar views.
Master Calendar (Schedule > Games & Trainings)
Season Calendar (Scheduling > choose Calendar from the Reports drop-down)
Location Calendar (Locations > Choose the Location > Calendar)
The Team Calendar (Team Page > Calendar) will display all active games in sky-blue blocks, active trainings in orange blocks, and postponed events in red blocks. Canceled events will not be displayed on the calendar.
