Review Status and Results for Candidates

Updated over a month ago

Use the All Applications report view to track where candidates are throughout the background check application process.

1. Under the Reports drop-down, toggle to the All Applications report view. This view is a collection of all submitted applications for candidates.

2. The Application Status will alert you to the current state of the application processing. Processing times depend on the type of check run for the candidate. See Appendix A for an overview of the Application Statuses.

Primary statuses to be aware of are:

  • Clear: Indicates that the background check had no findings and is ready to approve

  • Consider: Indicates that there may be findings to review for a candidate. See Appendix B for the next steps in the workflow

  • Error: Indicates an issue during the review or submission steps, and OTTO Sport support must be contacted to investigate

3. To review the results of a report that came back with a ‘Clear’ or ‘Consider’ status, click on the Application Form icon and click on the report to view a PDF version of the report.

Note: Any returned results will also be emailed to the candidate to support compliance with Fair Credit Report Act requirements.

‘Consider’ Status & Pre-Adverse Actions Workflow

There are two options when viewing a candidate record that is returned with a ‘Consider’ Status:

  • If a candidate is returned with a ‘Consider’ status and you want to clear the record immediately, set the risk status to ‘Approved' and set the expiration date in the Application Form view directly or via their profile view.

  • If a candidate is returned with a ‘Consider’ status and you move them into the Pre-Adverse Action workflow, this must initially be done in the Yardstik UI. See Appendix B for this workflow.

Note: The next version of the Risk Management product will include the ability to initiate the Pre-Adverse action workflow directly from the OTTO Sport interface.
