Admins and Coaches can control when submitted player evaluations become visible to users with ‘Can View’ permissions, like players and relatives. Complete evaluations internally, review them, and publish them when you’re ready to share.
Key Things to Know:
Newly submitted evaluations default to Unpublished. They’re saved but not visible to view-only users until published.
Previously submitted evaluations are treated as Published. Existing evaluations remain visible as they were before this feature was introduced.
Publishing is controlled by a single Publish this evaluation checkbox on the evaluation form, on both web and mobile.
Editing a published evaluation does not automatically unpublish it.
Publishing When Submitting an Evaluation
When you complete a new evaluation on web or mobile, you’ll see a Publish this evaluation checkbox near the Submit button.
Checkbox unchecked (default): Clicking Submit saves the evaluation as Unpublished. It’s visible to authorized staff but hidden from view-only users until published.
Checkbox checked: Clicking Submit saves the evaluation and publishes it immediately to users with ‘Can View’ permissions.
If your organization reviews evaluations internally before sharing them with players, leave the box unchecked and publish later when ready.

Publishing or Unpublishing an Existing Evaluation
You can change the publication status of any existing evaluation at any time.
From the Evaluation Form on Web Views:
Open the previously submitted evaluation.
The Publish this evaluation checkbox shows the current status: checked means Published, and unchecked means Unpublished.
Check the box to publish the evaluation, or uncheck it to unpublish.
Click Save. The evaluation is published or unpublished based on the checkbox.
Click Cancel to leave without saving any changes.
Note: On existing evaluations, the button reads Save instead of Submit.
From the Evaluation Form on Mobile:
Open the previously submitted evaluation.
The publication status will display at the top of the screen.
Select Publish.
From the Team Evaluations Report:
Navigate to Team Page > Reports > Evaluations > choose the evaluation.
Each evaluation displays its current publication status, Published or Unpublished, on the screen without needing to open it.
Click the Publish or Unpublish action next to the evaluation you want to update.
Bulk Publishing Evaluations
Need to publish multiple evaluations at once? Use the bulk publishing feature on the Team Evaluations Report. Bulk publishing is available on web only.
To Bulk Publish Selected Evaluations:
Navigate to Team Page > Reports > Evaluations.
Select an evaluation form from the Form dropdown. Publishing options don’t appear until a form is selected.
Select the evaluations you want to publish:
Check the box next to each unpublished evaluation you want to include, or
Check Select All Unpublished above the report entries to select every unpublished evaluation in the current report.
4. Click Publish Selected (X). X is the number of unpublished evaluations you’ve selected.
5. A confirmation dialog will show the number of evaluations that will be published.
6. Confirm to publish.
How selection works:
Select All Unpublished only selects unpublished evaluations in the report as currently displayed. It respects the selected form and any active filters.
Published evaluations can’t be selected for bulk publishing.
You can still select or deselect individual evaluations. Unchecking Select All Unpublished clears all selected evaluations.
Publish Selected (X) only appears when at least one unpublished evaluation is selected.
If the selected form has no unpublished evaluations, no publishing options appear.
Switching to a different form or report clears your selections.
Note: Bulk publishing only affects evaluations for the current seasonal team. Evaluations for other teams are not affected. Already published evaluations are not changed by bulk publish actions.

Publishing does not override existing role-based or team-based access restrictions. A user must still have the appropriate team and season access to publish, unpublish, or view evaluations.
What Happens After Publishing
Once an evaluation is published:
It becomes immediately visible to all users with 'Can View' permissions for that team and season.
It appears on both web views (Team Page > Reports > Evaluations) and the mobile app (Team > Members > Player Profile > Evaluations > Previously Submitted).
The status updates immediately in the Team Evaluations Report.
Important Notes
Editing a published evaluation does not unpublish it. The checkbox stays checked, so saving keeps the evaluation published unless you uncheck the box.
Unchecking the box and saving unpublishes the evaluation. View-only users will no longer see it until it is published again.
Previously submitted evaluations (before this feature was introduced) are treated as Published. No action is needed to keep existing evaluations visible.
FAQs
Will players be notified when an evaluation is published?
No, publishing an evaluation does not send a push notification or email. Players and view-only users will simply see the evaluation the next time they access their evaluations.
Can I unpublish an evaluation after a player has already seen it?
Yes, unpublishing removes the evaluation from view-only users immediately. However, there is no way to know whether a player has already viewed it before it was unpublished.
Can I publish evaluations from the mobile app?
Yes, publishing and unpublishing controls are available on both web and on the mobile app.
