Understand how to allocate your PPU licenses

This article will explain how you use up your pre-paid Pay-Per-Use (PPU) licenses.

If your institution has purchased PPU licenses, you have bought a set number of scenario plays. These work like a credit system. Each time you play an OMS scenario, you use up one of your PPU credits.

How PPU Licenses work

  • OMS activates your licenses in the OMS Hub, setting up a Library that contains the scenarios included in your license plan.

  • Your Library contains a fixed number of PPU credits, based on your purchase.

  • A PPU credit is used every time a learner plays a scenario—this includes repeat plays of the same scenario.

Example:

  • A learner plays the Asthma scenario five timesFive PPU credits are used.

How to allocate PPU licenses

Institutional Admins allocate PPU licenses by setting up Groups in the OMS Hub.

When you add scenarios to a Group and assign Learners, the Learners in that Group automatically gain access to the institution's PPU licenses.

Important Considerations:

⚠️ PPU licenses cannot be allocated to individual learners in limited amounts.

Once a learner has access to a PPU license, they can use any available PPU credits in your institution's Library.

This means that one learner could use up multiple PPU credits if they replay scenarios frequently.

How to Control PPU License Usage:

  • Use Groups strategically to limit access to PPU scenarios.

  • Add and remove Learners from Groups as needed to prevent overuse.

To allocate PPU licenses in the OMS Hub:

  1. Create or Edit a Group.

  2. Add scenarios to the Group.

  3. Add Learners to the Group.

Once Learners are added to a Group that contains PPU scenarios, they will automatically use a PPU credit each time they play a scenario.

How do you know when you have reached your License limit?

  • Contact OMS Support via Live Chat to check how many PPU licenses are left.

What If a License Was Used by Mistake?

  • OMS Support can help with corrections, but changes require approval from your OMS Account Manager.

  • If a scenario play lasted less than 1 minute, OMS may be able to credit back that usage.

What Happens When PPU Licenses Expire?

  • Your OMS Account Manager will notify you six weeks before your licenses expire.

  • Scenario access will be removed from the OMS Hub on the expiration date.

  • Any unused PPU credits will be lost unless you renew your licenses.

Renewing Your PPU Licenses

If your institution renews its PPU licenses, OMS will set up a new Library where your renewed licenses will be available.

A note on Inter-professional (Multi-Player) PPU Licenses

If your institution uses OMS Inter-Professional Education (IPE) scenarios, each player in a Multi-Player scenario uses one PPU license.

Key Facts About IPE PPU Licenses:

  • By default, IPE scenarios allow up to three players per session.

  • This means that for every 1 IPE PPU license purchased, you receive 3 licenses in your Library.

Example:

You purchase 50 IPE PPU licenses → Your Library contains 150 PPU licenses (to account for three players per scenario).

If You Need More Than 3 Players per Scenario:

  • Inform your OMS Account Manager so your license allocation can be adjusted.
