Admins can customize the statuses used for both Opportunity Stages and Product Submittal Status across their organization. These configurations help show users when tracking project progress and submittal reviews. You can create multiple configurations and assign them to specific branch locations.
Getting to Workflow Configurations
Click the Settings icon (gear) at the bottom of the left navigation bar.
In the left panel, select Workflow Configurations.
Click the Statuses tab at the top of the page.
You'll see a list of all existing status configurations. A star icon marks your default configuration.
Creating a new configuration
Click Create New in the top-right corner.
Give the configuration a Name and optionally add a Description.
If this configuration applies to specific locations, select them from the Branch Locations dropdown. Leave blank to apply company-wide.
Customizing statuses
Each configuration includes two sections you can customize independently.
Opportunity Stage Statuses
Organize your project pipeline by customizing the stages that appear under each category:
Category | Purpose |
Pre-Bid | Early-stage project tracking |
Pre-Award | Active quoting and bidding |
Post Award | Awarded projects in execution |
Complete *cannot edit | Finished or closed projects |
On Hold | Projects paused indefinitely |
To add a new status to a stage, click + Add Another under the relevant stage category. To remove a status, click the trash icon next to it. Drag the handle on the left to reorder stages within a category.
Product Submittal Statuses
Customize the statuses users can assign to individual line items during the submittal review process. Statuses are organized into three categories:
Category | Purpose |
To Do | Submittal not yet sent |
In Progress | Submittal is in active review |
Done | Review is complete (approved or rejected) |
By default, the configuration includes:
In Progress: Submitted, Re-Submitted
Done: Approved, Rejected
To add a custom status, click + Add Another under the relevant category. To remove one, click the trash icon. Drag to reorder.
Tip: The category a status belongs to affects how it's tracked in reporting and project logic — not just what label users see. Place statuses in the category that best reflects their meaning in your workflow.
Saving and applying
When you're done, click Save Configuration in the top-right corner.
To make a configuration the default for your organization, return to the Workflow Configurations list and use the three-dot menu next to the configuration to set it as default.
Tip: Branch-specific configurations
If your organization has multiple branch locations with different workflows, you can create separate configurations for each branch. Assign the appropriate branch(es) in the Branch Locations field when creating or editing a configuration. Users at that branch will see the statuses defined in their assigned configuration.
