How to Use Reporting (Rep Agencies)

Track quoting performance, gross profit, manufacturer goals, and rebates, and build custom reports.

Written by Tom Murphy

Reporting shows how your agency is performing by customer, branch, quote owner, and manufacturer. It also tracks your progress against manufacturer sales goals. Each tab has a chart and a table, and both use the same data.

Who can see it: Reporting is available to Admin users. Custom Reports has its own permission, which your admin can grant to other roles. If you don't see the Reporting icon in the left-hand menu, ask your account admin or contact support.

1. The tabs

Tab

Custom Reports

Reports you build yourself (see section 6)

Branch Locations

Performance by the branch assigned to each quote

Quote Owners

Performance by the user who owns each quote

2. What the numbers mean

Metric

Definition

Hit Rate

Opportunities won ÷ opportunities quoted. An opportunity counts once, however many quotes it has. Abandoned and deleted quotes are excluded.

Win Rate

Total $ Won ÷ Total $ Quoted

Total $ Won

Sum of the Grand Totals of all Won quotes

Total $ Quoted

For each opportunity, the won quote if there is one. If nothing is won yet, the lowest-value quote among the latest versions.

Gross Profit

BOM gross profit, from won BOMs only

Projects

Number of projects with at least one active quote for that row

Customers tab: choose a customer level

Use the Customer Level dropdown to switch between Primary (the default), Secondary, Tertiary, and Quaternary. For example, you might look at distributors on Primary, contractors on Secondary, and specifiers on Tertiary. Total $ Quoted and Win Rate use the customer cost at the level you select.

The Customers tab also has two columns that show how you quoted each customer:

  • Direct Quotes: BOMs where this customer was the level you quoted to.

  • Indirect Quotes: BOMs where this customer was involved but was never the level you quoted to.

Manufacturer breakdown

On the Customers, Branch Locations, and Quote Owners tabs, expand any row to see its manufacturers, sorted by gross profit. Each manufacturer row shows Gross Profit, Total $ Won, and Total $ Quoted. Use Expand all or Collapse all to open or close every row at once.

3. Filtering and working with tables

  • Date range: filters on Quote Due Date. The default is the past year. You can choose the past month, 3 months, 6 months, or year, or set a custom range.

  • Other filters: Project Stage, Branch Location, Quote Owner, Market Vertical, and Scope.

  • Filters apply to both the chart and the table, and Parspec remembers them. Click Clear to reset them.

  • Search looks in the first column only.

  • Show or hide columns from the column menu.

  • Export downloads an Excel file that keeps your current filters, sort order, and visible columns.

  • Charts show the top 10 rows. A summary row at the bottom of the table shows totals.

4. Manufacturer Goals

Set up a goal

Go to Reporting → Manufacturer Goals and click Add Goal. You can also go to Manufacturer settings → Sales Goals, where the manufacturer is filled in for you.

Field

Options

Year and Period

Full Year, H1, H2, or Q1–Q4

Manufacturer

Any manufacturer. Include Child Brands is on by default.

Contributing Branches

All branches by default

Credit Basis

Discounted Cost (default) or Sell Price

Goal Trigger

Shipping (default) or Releasing

Targets

A Primary Target ($), with an optional Rebate (%) and Bonus ($). Click + Add Another to add Secondary and Tertiary targets. Each target must be higher than the one before it.

Each combination of manufacturer, year, period, and branches can have only one goal.

How progress is counted

Column

What counts

Shipped

Items whose actual ship date falls in the goal period. If there's no ship date, Parspec uses the date the item was marked Shipped.

Released

Released items. These count toward the goal only when the trigger is Releasing.

Awarded

Items on won BOMs that haven't been released or shipped yet. These don't count toward the goal yet.

Contributing Total

Shipped, plus Released when the trigger is Releasing

% to Primary Target

Contributing Total ÷ Primary Target

Pacing

Achieved means you've passed the primary target. On Track means you're at or ahead of where you should be for this point in the period. Behind means you're short of that point.

Rebates and bonuses

  • The highest target you reach sets the rebate %, and that rate applies to your whole Contributing Total.

  • Bonuses add up: you earn the bonus for every target you pass.

  • Rebate & Bonus Earned shows "–" until you reach the Primary Target.

The chart shows one bar per goal, split into Shipped, Released, and Awarded. Each bar has a pacing marker and a diamond for each target. Use the Manufacturer, Year, Period, and Branch filters to narrow the view.

5. Keep your numbers accurate

Do this

Why it matters

Mark every quote Won, Lost, or Abandoned (how)

Quotes left open count as quoted but not won, which lowers your Hit Rate.

Set the Quote Due Date

The date filter uses it.

Assign customers at each level, and set the Customer Level Quoted

These drive the Customers tab and the Direct and Indirect columns.

Assign a Quote Owner and Branch Location

These fill those tabs and decide which branches count toward a goal.

Keep ship dates and order statuses current

Manufacturer Goals counts Shipped and Released items, so out-of-date statuses understate your progress.

6. Custom Reports

Custom Reports lets you build your own report from Parspec data. Creating and editing reports requires the Custom Reports permission (Settings → User Management → Permissions).

  1. Go to Reporting → Custom Reports and click Create Report.

  2. Name the report, and choose the output format (Excel, PDF, or both) and who can see it (Public, Private, or specific branches).

  3. Pick a primary data source: Projects, Opportunities, BOM Line Items, Orders, Company Manufacturers, Invoices, or Ledger. You can add up to 3 related sources, such as Quotes, Submittals, Order Fulfillment, Payments, or Manufacturer Goals.

  4. Choose columns, group by up to 2 levels, and add totals (Sum, Count, Avg, Min, Max).

  5. Add filters, such as opportunity stage, due dates, estimated value, manufacturer, order status, ship dates, or quote status.

  6. Set a date range: past 7 or 30 days, month to date, quarter to date, year to date, or custom. The range applies to when records were last modified.

  7. Preview the layout and save the report.

Note: The preview uses sample data, so it shows the layout rather than your real numbers. Scheduled email delivery and Download Now are coming soon.

Good to know: Filters work together, so a record has to match all of them to appear. Records with an empty value in a filtered field are left out.

FAQ

Why doesn't my Manufacturer Goal show progress?

Check that the items are marked Shipped (or Released, if the trigger is Releasing), that they fall in the goal's period, and that their branch is one of the goal's contributing branches.

Why does a quote appear under one customer but not another?

The Customers tab shows one customer level at a time. Switch the Customer Level dropdown to see the other levels.
