How to Use the Reporting Dashboard (Distributors)

See your hit rate, win rate, and dollars quoted and won, broken down by customer, branch, quote owner, and manufacturer.

Written by Tom Murphy

Reporting shows how your quoting is performing across the account. Each tab has a chart and a table, and both use the same data. The numbers depend on the quotes your team creates and on the statuses they set, so they are only as accurate as that data.

Who can see it: Reporting is available to Admin users on accounts with quoting enabled. If you don't see the Reporting icon in the left-hand menu, ask your account admin or contact support.

1. The tabs

2. What the numbers mean

Definition

Hit Rate

Opportunities won ÷ opportunities quoted. An opportunity counts once, however many quotes it has. Abandoned and deleted quotes are excluded.

Win Rate

Total $ Won ÷ Total $ Quoted

Total $ Won

Total $ Quoted

For each opportunity, the Grand Total of the won quote if there is one. If nothing is won yet, the lowest-value quote among the latest versions.

Projects

Quotes / Submittals / O&Ms

Document credits used. Revisions are not counted.

Manufacturers tab

Metric

Definition

Products

Σ Revenue

Total extended sell price

Σ Margin

Extended sell minus extended discounted cost

Profit Margin

Σ Margin ÷ Σ Revenue

Tip: Read Hit Rate and Win Rate together. Hit Rate tells you how many jobs you convert, and Win Rate tells you how many dollars you convert. A high Hit Rate with a low Win Rate usually means you're winning the smaller jobs.

3. Filtering

  • Date range: filters on Quote Due Date. The default is the past year. You can choose the past month, 3 months, 6 months, or year, or set a custom range.

  • Other filters: Project Stage, Branch Location, Quote Owner, Market Vertical, and Scope.

  • Filters apply to both the chart and the table, and Parspec remembers them the next time you open Reporting. Click Clear to reset them.

4. Working with the table

  • Search looks in the first column only (for example, customer name).

  • Show or hide columns from the column menu. Your choices are saved.

  • Sort by clicking any column header.

  • Export downloads an Excel file that keeps your current filters, sort order, and visible columns.

  • Charts show the top 10 rows. A summary row at the bottom of the table shows totals.

5. Keep your numbers accurate

Do this

Why it matters

Mark every quote Won, Lost, or Abandoned (how)

Quotes left open count as quoted but not won, which lowers your Hit Rate. Abandoned quotes are removed from Hit Rate entirely.

Set the Quote Due Date

The date filter uses it. If it's left empty, Parspec uses the date the quote was created.

Assign a customer to every BOM

A BOM with no customer won't appear on the Customers tab.

Assign a Quote Owner and Branch Location

These fill the Quote Owners and Branch Locations tabs.

Add product scope (how)

Lets you filter by Scope.

FAQ

Why is my Hit Rate lower than I expected?

Open quotes count as not won. Mark old jobs Lost or Abandoned to get an accurate rate.

A quote I sent last month isn't showing up. Why?

Check its Quote Due Date. The date filter uses the due date, not the date the quote was sent or awarded.

Why don't my Reporting totals match my quote document?

Total $ Quoted counts one value per opportunity, so it doesn't add up every revision or alternate quote.
