Scanner App - Processing Stamp Cards
Overview
Use the Scanner App to award stamps to customers and process reward redemptions on stamp cards. The interface adapts to your card settings, whether stamps are awarded per visit, based on spending, or according to custom rules.
What you can do:
Scan customer stamp cards
Award stamps for purchases or visits
Process reward redemptions
Add purchase amounts and notes
View customer information and card status
Finding customers
Method 1: Scanning
Step 1: Initiate scan
Log in to the Scanner App
Tap the Scan button on the home screen
Your device camera activates
Step 2: Grant camera permission (first time only) If this is your first time using the scanner:
A permission request appears
Tap Allow to grant camera access
Camera activates and is ready to scan
Step 3: Scan customer card
Customer opens their loyalty card on their phone
Position your device camera over the QR code
Hold steady until code scans automatically
Customer's card appears on screen
Method 2: Manual search
If scanning isn't possible, search for customers manually.
Step 1: Open search Tap the Search button in the Scanner App.
Step 2: Enter search criteria You can search by:
Name: Customer's first or last name
Phone number: Full or partial number
Email address: Full or partial email
Card serial number: Unique card identifier
Step 3: Select customer
Search results appear
Tap the correct customer
Their card displays on screen
Understanding your stamp card interface
Interface variations
Important: The Scanner App interface changes based on your stamp card configuration.
Two main types:
Type 1: Visit-based or custom rules
Stamps awarded per visit
Stamps awarded based on your custom conditions
Counter with +/- buttons
"Add Stamps" button
Type 2: Spend-based
Stamps awarded based on purchase amount

Awarding stamps: Visit-based cards
When to use this process
Use this method if your card awards stamps:
Per visit (1 stamp each time customer visits)
Based on custom rules you determine manually
Independent of purchase amount
Process
Step 1: Scan customer card Follow scanning or search process above.
Step 2: Set stamp count
Customer card displays on screen
Use +/- buttons (left and right of counter) to set number of stamps
Default is usually 1 stamp
Adjust if awarding multiple stamps
Example:
Regular visit: Set to 1 stamp
Special promotion: Set to 2 stamps
VIP bonus: Set to 3 stamps
Step 3: Click Add Stamps Tap the Add Stamps button.
Step 4: Add purchase amount (optional)
A confirmation popup appears.
If purchase amount is required in card settings:
Enter the purchase amount in the field
Add internal comment if desired (optional)
Tap Add
If purchase amount is NOT required:
Leave amount field blank
Add internal comment if desired (optional)
Tap Add
About internal comments:
Visible only to staff (customer doesn't see it)
Use to note: service/product purchased, special circumstances
Helpful for tracking and reporting
Step 5: Confirm success
"Successful Transaction" popup appears
Stamps are added to customer card
Tap Done to return to scan screen
Awarding stamps: Spend-based cards
When to use this process
Use this method if your card awards stamps:
Based on purchase amount
Automatic calculation (e.g., 1 stamp per $10 spent)
Spending threshold determines stamps

Step 1: Scan customer card Follow scanning or search process above.
Step 2: Enter purchase amount
Customer card displays on screen
Amount entry field appears
Enter the total purchase amount
System automatically calculates stamps based on your rules
Example:
Card rule: 1 stamp per $10 spent
Customer spends: $35
System awards: 3 stamps automatically
Step 3: Click Add Stamps Tap the Add Stamps button.
Step 4: Confirm transaction
Confirmation popup appears
Shows purchase amount and stamps to be awarded
Add internal comment if desired (optional)
Tap Add
Step 5: Confirm success
"Successful Transaction" popup appears
Stamps are added based on spending
Tap Done to return to scan screen
Redeeming rewards
When rewards are available
Customers earn rewards when they collect the required number of stamps. The reward status updates immediately after scanning.
How to tell rewards are available:
Scan the customer card
Look for available rewards indicator
"Redeem" tab becomes active
Number of available rewards displays
Redemption process
Step 1: Scan customer card
Customer presents their card
Scan the QR code
Card displays with reward status
Step 2: Access redemption Tap the Redeem tab.
Step 3: Set redemption count
Use +/- buttons to set number of rewards to redeem
Cannot exceed available rewards
Button becomes inactive if you try to exceed limit
Example:
Customer has 1 reward available
Can redeem only 1 reward
Cannot set counter to 2 (button inactive)
Step 4: Click Redeem Reward Tap the Redeem Reward button.
Step 5: Confirm redemption
Confirmation popup appears
Shows purchase amount (if entered when earning stamps)
Tap Redeem to confirm
Step 6: Complete
Reward is redeemed
Stamps are reset or deducted (based on card settings)
Customer can continue earning stamps
Tap Done
Automatic reward redemption
How it works
Some stamp cards have automatic redemption enabled in their settings.
When automatic redemption is on:
Rewards redeem automatically when stamps are added
No manual redemption scan required
Happens immediately upon reaching reward threshold
Customer receives reward instantly
Process:
Customer reaches required stamp count (e.g., 10 stamps)
You scan card and add next stamp
System automatically redeems reward
Stamps reset for next reward cycle
Customer receives their reward
You don't need to:
Click the Redeem tab
Scan the card again
Manually process redemption
Customer experience: "Congratulations! You've earned a reward. Enjoy your free coffee!"
Viewing customer information
Information displayed
The Scanner App always shows current, real-time customer and card information.
Location on screen: Below the transaction buttons (Add Stamps, Redeem).
Customer information:
Name
Phone number
Email address
Any custom fields filled during card installation
Card information:
Current stamp count
Stamps needed for next reward
Available rewards
Card installation date
Last stamp earned date
Card expiration date (if applicable)
Card status (active/expired)
Note: Information displayed may vary slightly depending on your specific card configuration.

Frequently asked questions
Can I add multiple stamps at once? Yes, use the +/- buttons to set any number of stamps before clicking Add Stamps.
What if I accidentally add too many stamps? You can adjust in the customer's profile in the main dashboard, or scan again and use the minus button if available.
Do I need to enter purchase amount every time? Only if required by your card settings. Otherwise, it's optional and can be skipped.
Can customers see my internal comments? No, internal comments are visible only to staff. Customers never see these notes.
What happens if card expires during transaction? The system will prevent stamp addition on expired cards. Customer needs card renewal.
Can I redeem partial rewards? No, rewards redeem as complete units. A customer needs the full stamp count for one reward.
What if automatic redemption is on but I want to skip it? You cannot skip automatic redemption—it's immediate and automatic when enabled in card settings.
How do I know if automatic redemption is enabled? Check your card settings in the main dashboard. It's a configuration set during card creation.
Can I process multiple customers' cards back-to-back? Yes, after completing one transaction and tapping Done, you return to the scan screen ready for the next customer.
What if customer has multiple card types? Each card scans separately. Customers can have multiple cards (stamp, gift, etc.) and you scan whichever they present.
