Customer profiles

View, create, and manage your customer database, transaction history, and loyalty card activity.

Overview

The Customers section is your central hub for managing everyone in your loyalty program. Here you can view customer details, process card transactions, import or export customer data, filter and segment your audience, and track transaction history — all from one screen.


Navigating the customers screen

  1. Navigate to the left-hand menu and click the Customers icon.

At the top of the screen, four summary tiles display your total customers, card transactions, reviews, and overall feedback rating.

Below the summary tiles, you'll find:

  • Export — Download your entire customer list to your device

  • Import — Upload customers in bulk using a CSV file

  • My Filters — Filter your customer list by available criteria

  • My Segments — Group customers into segments for targeted communication

  • RFM Segments — Automatically groups customers by purchase behavior (Recency, Frequency, and Monetary value)

  • Communication — Send messages to customer segments


The customer grid

The customer grid displays each customer's information in columns: User Name, Date Created, Birthdate, Phone, Feedback Rating, UTM, Device, Customer Cards, and Custom Fields.

Click on any customer's name to open their full profile.


Customer profile details

A customer's profile contains:

Card information

All cards issued to the customer are displayed here. You can switch between cards if a customer has more than one. Pay attention to the card serial number and custom fields.

Process transactions

You can process transactions directly from the customer profile — add stamps, credit points, deduct visits, and more. The available actions depend on the loyalty card type.

Card installation and referral links

Scroll down to find the customer's unique card installation and referral links. Tap Copy to copy a link and send it to the customer. These links are specific to each individual customer.

Transaction history

At the bottom of the profile, you'll find the customer's full transaction history. Tap the download icon in the top-right corner to export the transaction history for all customers with that particular card.

Edit a transaction amount

You can edit the purchase amount of a transaction directly from the dashboard. Open the customer's profile, scroll to the Last Transaction section, and click the pencil icon next to the transaction amount to enter the updated value.


How to create a customer profile

  1. Navigate to Customers in the left-hand menu.

  2. Click the Actions button and select Add Customers.

  3. Fill in the customer's details:

    • Last Name

    • First Name

    • Contact Number

    • Email Address

    • Date of Birth

  4. Click Add to save the profile.

The customer now appears in your customer grid and can participate in loyalty programs or receive marketing communications.


How to import customers in bulk

  1. Navigate to Customers and click the Import tab.

  2. Click the download button to get the CSV import template.

  3. Fill in your customer information in the template file.

  4. Click Import and upload the completed CSV file.

Your customers will be added to the database in bulk.


How to export your customer list

  1. Navigate to Customers and click the Export tab.

  2. Your full customer list will be downloaded to your device.


How to delete a customer profile

The deletion process depends on whether the customer has an installed card.

Customer without an installed card

  1. Navigate to Customers and select the customer from the list.

  2. Click the Actions tab at the top.

  3. Click Delete Customer.

Customer with an installed card

You must remove the card from their profile first:

  1. Click on the customer's name to open their profile.

  2. Click the pencil icon next to the card status (the card status must show "Installed").

  3. A delete popup appears. Confirm the deletion.

  4. Go back to the Actions tab and click Delete Customer.

Important: Deleting a card from the customer's profile does not remove it from their phone. The customer must delete it manually from their device. However, the card will no longer function even if they keep it on their phone.

Note: If a customer has an installed card and you try to delete them without removing the card first, you'll see a warning message. This is expected behavior.


FAQs

Can I process transactions from the customer profile?

Yes. Open the customer's profile, select their card, and process transactions directly — add stamps, credit points, deduct visits, or redeem rewards, depending on the card type.

Can I edit a past transaction?

You can edit the purchase amount of a transaction. Open the customer's profile, scroll to Last Transaction, and click the pencil icon to update the value.

What are RFM segments?

RFM segments automatically group your customers based on their purchase behavior: how recently they purchased (Recency), how often they purchase (Frequency), and how much they spend (Monetary). This helps you identify your most valuable customers and those at risk of churning.

Will deleting a customer remove the card from their phone?

No. The card remains on their phone but will no longer function. The customer must manually delete it from their device.
