The list is in three groups, each report one row with its description:

An open report has one header row: a back arrow to the list, the report and its season, Download data (CSV or Excel workbook) and Download PDF. The settings above each preview are dropdowns and choices you tap. Statuses are small labels or a dot beside the words: spray records with mixed units say mixed units, and stock movement shows each change with a sign and an up or down arrow. Preview titles use a colon, such as "Harvest Production Report: 2026", and table headings are in sentence case ("Total required", "In stock", "To order").

Reports are useful when you need to review, save or share a record outside Phase. Common uses include:

Crop-plan PDFs and Plan Studio season-plan PDFs come in two layouts. Grouped by program starts every program on a fresh page: paddocks that share an identical grouped program remain together, while the next program begins on a new page. Paddock by paddock gives each paddock a page of its own with its outline and program. The Gross margins page lists every crop with Bad, Budget and Bumper, its yield, whether that yield is yours or from history, and the break-even yield; the on-screen preview shows the same table. Where a crop has a Low price or High price set in Crop Plan Studio's gross margin strip, the page and the preview add a row under that crop for each, such as "Wheat at low price": the price, the break-even yield at it, the margin per hectare in a bad, budget and bumper season, and the total at budget. If only some of the crop's paddocks have one, the row says how many are without it rather than adding up part of the crop. A crop with neither shows as before. Each crop is added up from its paddocks, a paddock with no price, no yield or no inputs planned is left out of its crop's total, and the page says what each crop leaves out and why a crop has no margin. The total reads "whole-farm" only when nothing is left out, otherwise crops with a margin only. A conditional pass is marked "CONDITIONAL — NOT IN THE TOTALS" and kept out of every total, and a Planning review page at the back lists what is still open (conditional passes awaiting a decision, plant-back checks not plainly satisfied, issues nothing is tied to, undated passes). Decisions and reasons can be included from Share in Crop Plan Studio. The inputs print as a card per product, the same layout Inventory's export uses.

In Inventory → Chemicals, Fertiliser, Seed or Parts & other, Actions → Export opens a chooser for a PDF or CSV of demand, stock or both, for one or more kinds of stock. More → Export everything downloads a complete copy of the workspace as one ZIP.

Open Reports → Crop Plan and choose PDF layout before Download PDF:

Nothing changes unless you pick it.

Open Reports → Crop Plan, tick Show financials under Display options, then choose Download data → Excel workbook or CSV. The Excel file has two sheets after the plan's own, Gross margin by crop and Gross margin by paddock; the CSV has the same two tables under the plan rows, after a blank line. They carry the same figures as the PDF's Gross margins page. Each paddock row shows its price, its bad, budget and bumper yields and whether each is yours or from the farm's yield history, income and input cost per hectare, the margin per hectare in a bad, budget and bumper season, the income, input cost and margin across the paddock at budget, and the break-even yield. A paddock left out of its crop's total is still listed, marked price not set, no yield set or recorded or no inputs planned.

When any crop or paddock has a low or high grain price, both sheets add Low price and High price columns, each with the margin per hectare in a bad, budget and bumper season at that price; a crop row's Note says when some of its paddocks have no low or high price. Once any paddock in the report is marked dryland or irrigated in Crop Plan Studio, the plan rows also get a Cropping method column next to Variety.

The margins are not included when Activities shown is Actuals only (completed jobs), because there is no budget to set a margin against. Reports cost a product line saved without a price at its inventory price, as Plan Studio and Financial Performance do, and a conditional pass is not counted until it is done. The plan rows and sheets are unchanged and stay in the same columns, so a spreadsheet that adds up a whole column should stop at the blank line. Crop Plan Studio's Share → Export data (CSV) carries the same two tables.

The rotation is exported from Crop Plan Studio, not the Reports list. Open Plan → Compare → History and choose Export. It downloads a CSV with a row per paddock and the crop and variety for each season shown, oldest first, including this season's plan and any later season's intended crop. It follows the grid's filters and the number of seasons picked (3 seasons, 5 seasons and so on), so set those first. Export is greyed out when no paddocks are showing.

Open Reports → Spray Records. Filter by one or more farms, paddocks and product types. Spraying remains the default; turn on Spreading when fertiliser applications made with a spreader should be included. Unlinked products remain visible under Not in library.

Turn on Show season totals per paddock to see each product's pass count, summed rate and total applied for every paddock in scope. The totals follow the active filters and are included in the PDF and the Season totals sheet in the Excel export. Phase reports mixed units or a dash when unlike units or rate types cannot be added safely instead of guessing.

Notes written on a job (see Notes on a job in Crop Plans And Activities) show with its record, signed and dated: on screen, in the PDF under Notes on these jobs, and in the CSV's Notes column. Corrections made with Edit what was applied show separately as Record changes. Phase's own wording about where a record came from (such as "Reconciled from John Deere Operations Center…") is no longer shown as a note. The Notes missing warning clears once the job has a note, and says where to add one. In the crop plan report, Activity notes are these notes, and the plan's own wording for the job is in Instructions.

Open Reports → Records and production → Machine Use to review hours, hectares, estimated diesel and running cost by machine and job type for the season. Only completed records that carry machine and time or cost details can contribute; John Deere work confirmed before machine capture was added is not back-filled.

The report will only be as complete as the records behind it. If a report is missing a label, SDS, weather record, product price or completed activity, fix the source record first.

For spray or compliance evidence, check that the completed source record includes the actual products and rates, water rate, nozzle, droplet size, operator, date and weather where required. A nozzle entered on a planned spray carries into its completed record; a reviewed John Deere or manual Reconcile value can override it.

If a report looks incomplete, fix the source data first, then generate the report again.

Try refreshing the app and generating the report again. If the report still fails, contact support with the report name, farm, season, filters used and a screenshot of the error.
