Bulk Changes
Our bulk changes features allow you to change information for lots of points at once in order to save time. For example, if several points need to have their status changed to the same value (i.e. change from Open to In Progress), instead of opening and edit each point individually, this can be done easily for all points at once using our Bulk Changes feature.
To make bulk changes to points in your work list, select the points to change. A floating menu will appear at the bottom of the page with several options. This floating menu will only appear when points are selected with the tick boxes from the main work list.
The ‘Edit’ icon allows you to make the same changes to multiple point details such as priority, status, tags and custom fields. You can see more information on editing individual points here.
‘Delete’ allows Admin users to delete multiple points. Only Admin users will see this option. *If points are deleted, they cannot be recovered.*
‘Export’ brings up the options to export the selected points. You can read the article on exporting for more information.
Admin users will see all options available.
Normal users will see all options except 'Move'.
Guest users will only see the Export option.
Copy and Move points between sites
Tags and custom fields which do not already exist on the destination site must be created before copying or moving. Otherwise, this information will be removed in the transfer.
For list custom fields, the information will be transferred only if the list custom field name and values match. All of the values do not have to match in order for the information to transfer as long as the custom field name, list/sub-list information matches.
Moving points: Only Admin users can move points. You must have Admin access on the source site and the destination sites to move points. This is available through the bulk change feature in the floating menu or through the individual point card itself. Open the point card, then click the 3-vertical dot icon in the top right corner of the point card.
You will have the option to select which of the following point information to copy across - Activities, Comments, Photos, Videos, Files or Description. Once a point has been moved, the point will have a new ID number on the destination site.
Copying points: Admin and full Normal users (no Tags or Advanced Access Level options selected) can copy points within the same site or to another site. Users must have Admin or full Normal access the source and destination sites. This is available through the bulk change feature in the floating menu or through the individual point card itself. Open the point card, then click the 3-vertical dot icon in the top right corner of the point card.
You will have the option to select which of the following point information to copy across - Activities, Comments, Photos, Videos, Files or Description. Once a point has been moved, the point will have a new ID number on the destination site.
Depending on how many points are to be copied/moved and the number of media files attached, this process could take a few minutes. Please be patient and only navigate to this part of the system once you see the success message to confirm the process is finished.
Pro tips: Where appropriate, we recommend you copy points instead of moving them. The copied points can then be set to 'Canceled' or 'Completed' status in the source site and a comment made that they were moved to another work list so you have a reference of them in the original list if needed.
