How to use lookup fields to display subfield data from a referenced table
Connections between tables can be created using reference fields in Pitchly. Once a reference field is added to a table, you will have the option to include a lookup field that will display a read-only subfield of a referenced record. Lookup fields are helpful when filtering, sorting and exporting record subfield information. Lookup values can also be included in templates to display on design assets. Subfield field data is maintained and updated within the source table of the referenced record. Any modifications made will automatically reflect in the corresponding lookup fields across other tables, ensuring current and consistent data.
The below image illustrates how referenced subfield data displays via lookup fields. For example, you would like to link a company to a specific deal record via a reference field. When filtering for records in the Deals table, you would like to apply additional criteria to determine if the referenced company is public and display the corresponding exchange and ticker information. Since the public company information lives on the company record, a lookup field can be used to display the subfields “Public Company”, “Listing Exchange” and “Ticker Symbol” on the Deal record.

Please note: Lookup fields capture one level of reference and are available to use with single reference fields only. Lookup fields cannot be used to display subfields for records tagged to multi-reference fields. Creating a lookup field requires Admin level permissions.
Create a lookup field:
Prior to creating a lookup field, verify that the reference field exists in your table and that the field directs to the desired referenced table.
1. | In the table where you want to add the lookup field (not the table you are referencing), click Edit table |
2. | In the Update Table window, select +Add field |
3. | Choose Lookup from the field type dropdown |
4. | Enter the lookup field name |
5. | Select the Table Reference Field from the dropdown

6. | Select the Reference Subfield
This field stores the data you want to include in the lookup field

7. | Click Update |
Please note: Other lookup fields and reference / multi-reference fields cannot serve as subfields. Lookup fields are read only and cannot be edited. Subfield field data is maintained and updated within the source table of the referenced record. Any modifications made in the source table will automatically reflect in corresponding lookup fields across other tables.
Filter / sort by lookup field:
To apply filter or sort conditions to a lookup field, click the Filter or Sort button on the top panel. Select + Add condition or + Add condition group. Choose the lookup field from the dropdown menu, select the operator and input the value for filtering. Any additional conditions can be applied as needed.
Download lookup field data:
When downloading table data, lookup field values will export and be included in the emailed csv file. To export table data, select the Download data button on the top panel.
Use lookup fields in Pitchly apps:
Lookup fields function similarly to other field types when used in Pitchly apps. The lookup field type will correspond to the referenced subfield type in the source table. For example, the Elements app reads the Lookup Sales field as a currency value because the Sales subfield is classified as such in the Deals table.

Please note: The Forms app does not support lookup fields. Lookup fields cannot be included on a Pitchly form.
Please keep in mind that a subfield cannot be deleted from a table until the associated lookup field is removed. If you attempt to delete the subfield before deleting the lookup field, you will receive the below error message. This serves as a precautionary measure to prevent admins from accidentally removing subfields that associated lookup fields pull data from.
